Corporate Coffee Systems is a locally based, family-owned company that has been serving businesses throughout the New York metropolitan area for more than 40 years. What started with office coffee has grown into a full-service workplace refreshment company providing coffee, pantry, water and ice, micro market, and other workplace solutions to thousands of businesses throughout the Tri-State area.

With approximately 70 employees, our Westbury headquarters, and a Manhattan showroom, we are large enough to offer opportunity and stability while still maintaining the feel of a close-knit company where people know each other and individual contributions matter.

As we continue to grow, we are looking for an experienced Purchasing Agent to join our team and support the day-to-day purchasing and inventory needs of our business.

About the Role

The Purchasing Agent plays an important role in making sure we have the right products, in the right quantities, at the right time. This person works closely with our vendors and internal teams to manage purchasing, maintain appropriate inventory levels, monitor pricing, and help ensure products are available when our customers need them.

This is a great fit for someone who is organized, comfortable working with vendors and inventory, and able to stay on top of multiple orders, deliveries, pricing changes, and product details at the same time.

What You’ll Do

• Manage day-to-day purchasing of products and supplies
• Maintain relationships with vendors and communicate regarding pricing, product availability, quality, delivery schedules, and other purchasing needs
• Monitor inventory levels and place purchase orders based on business needs
• Negotiate vendor pricing and identify opportunities for cost savings
• Monitor price changes, rebates, promotions, and special offers
• Review purchase orders and resolve discrepancies with vendors and internal teams
• Work closely with Inventory and Fulfillment to maintain product availability and stocking accuracy
• Maintain accurate product information, including descriptions, pack sizes, pricing, and other product details
• Coordinate incoming vendor deliveries and schedule dock appointments
• Track open purchase orders and follow up on delayed or outstanding deliveries
• Prepare purchasing and inventory reports as needed
• Stay current on vendor offerings, product changes, and relevant industry trends
• Support the Purchasing Manager with additional purchasing projects and responsibilities as needed

What We’re Looking For

• 2+ years of purchasing experience, preferably in distribution, food and beverage, hospitality, or another inventory-based environment
• Experience working directly with vendors and negotiating pricing
• Strong organizational skills and attention to detail
• Ability to manage multiple priorities and follow through on open items
• Comfortable working with inventory, purchase orders, pricing, and product data
• Strong written and verbal communication skills
• Strong problem-solving skills and the ability to identify and resolve discrepancies
• Proficiency with Microsoft Office, including Outlook and Excel
• Experience with purchasing, inventory management, or ERP systems is a plus
• Ability to learn new systems and processes quickly
• Dependable, professional, and able to work independently
• Positive, team-oriented attitude and willingness to help where needed
