Description
Program Specialist 3 - Welcome Center
Salary: $27.24 - $36.69* Per Hour
Classification: Part-time Hourly
Reports to: Customer Service Manager
The purpose of this position is to serve as the initial contact for potential students and current students, to guide them through the admissions, enrollment, financial aid processes and minimizing return visits. This position processes admission applications, conducts enrollment processes, and assists with the completion of all FAFSA/WASFA requirements from first term through graduation. All work is preformed independently with high level of accuracy and efficiency
Essential Functions
  • Provide personalized assistance to students completing FAFSA/WASFA applications, including complex task such as Special Circumstances and Dependency Overrides. Exploring alternative funding sources, and understanding payment options. Guide students in understanding account balances, tuition payment obligations, Nelnet Payment Plan.
  • Provide assistance to students and staff including rectifying cashier errors, answering inquiries about student accounts, and providing account advice to stakeholders. This may involve updating student account procedures.
  • Receive and process various forms of payments, interdepartmental transactions. Provide receipts for transactions, reconcile/balance student and departmental receipts, and prepare bank deposits daily. Assist students, departments and outside agencies with account interpretation, reconciliation, and correction. Review back-up documentation provided by stakeholders and correct errors as needed on student accounts.
  • Works with program participants, staff, representatives of outside organizations and/or members of the public in defining needs, planning, designing, and developing specialized activities while exploring solutions and alternatives.
  • Assist students with determining alternate funding resources when necessary.
  • Update student accounts by processing student forms, documents and other pertinent information to complete transaction and procedures.
  • Serve as the interdepartmental liaison regarding the interpretations and implementation of program policies.
  • Receive, track, and follow-up with current and prospective students about inquires related to their enrollment through different communication methods.
  • Assist with inquiries about the college as a whole and directing them when needed.
  • Use the 3 C's communications and/or communications to students about billings and payment progress.
  • Support outreach events and internal events to promote Olympic College.
  • Attend ENROLL NOW! Graduate Strong, and OC graduation ceremonies throughout the academic school year.
  • Provide assistance and/or resources to students, potential students, and/or public regarding the various steps in enrolling college.

Additional Information
Please note that we are unable to sponsor visas for this position. Only candidates who are currently authorized to work in the United States will be considered.
Hourly employees must work 480 hours in a rolling six-month period to become eligible for health benefits. Hourly employees must work 70 hours in any five months for two consecutive years to become eligible for retirement. This is an hourly position scheduled to work up to 18 hours per week, with a salary of $27.24 - $36.69. They are not initially eligible for benefits upon hire but could qualify for the following.
This is a part-time classified position. All classified positions will start their salary at Step A ,when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union. Classified positions qualify for the following benefits:
Deferred Compensation Program (DRS) retirement savings plan; TIAA supplemental retirement savings plan, sick leave, paid holidays, Aflac, space available tuition waiver, Employee Assistance Program (EAP), fitness center, reduced rate, and priority consideration on-site childcare on a space available.
