Job description

Matrix HR is seeking an organized, professional, and detail-oriented Administrative Assistant / Dispatch Coordinator to support a busy operations team in Edmonton, AB. This is an excellent opportunity for experienced candidates to work in a fast-paced commercial environment, providing critical support to project managers and service coordinators. What We Offer
  • Competitive pay rate of $25.00 to $31.00 per hour based on your experience
  • Temporary contract of approximately 2 months with potential for permanent employment

Key Responsibilities
  • Provide comprehensive administrative support to operations, project managers, and service coordinators
  • Answer phones and respond to customer inquiries in a professional and timely manner
  • Prepare work orders, quotations, reports, correspondence, and project documentation
  • Schedule appointments and coordinate calendars for service and project teams
  • Maintain and organize electronic and paper filing systems for easy retrieval
  • Process timesheets, invoices, purchase orders, and other critical administrative documents
  • Update and maintain records within company-specific software and Microsoft Office applications
  • Assist with the preparation and tracking of project documentation and reporting
  • Communicate effectively with customers, vendors, and internal teams to ensure smooth operations
  • Perform other general administrative and dispatch coordination duties as assigned
Qualifications
  • Minimum of 2 years of experience in a professional administrative or coordination role
  • Strong proficiency in Microsoft Office applications including Word, Excel, and Outlook
  • Excellent written and verbal communication skills with a focus on professional service
  • Demonstrated ability to manage multiple priorities in a fast-paced, high-volume environment
  • High attention to detail and a commitment to accuracy in data entry and documentation
  • Experience supporting construction, HVAC, mechanical, or industrial service environments is a strong asset
  • Ability to work independently while contributing effectively as part of a collaborative team
  • Must be located within the Edmonton, AB area. We do not provide LMIA support or work permit sponsorships.
  • Successful completion of required pre-employment background checks
