Job description

Job Title: Sales Support Coordinator

Position Overview:
The Sales Support Coordinator plays a key role in assisting the internal sales department throughout the entire sales cycle — from securing the job to final payment collection. This position ensures smooth project flow, accurate documentation, and effective communication between sales, operations, permitting agencies, and clients. The role also includes serving as the first point of contact for incoming sales inquiries to gather preliminary project information before assigning leads to the sales team.

Key Responsibilities:

  • Inbound Sales Call Management: Answer all incoming sales calls, gather preliminary project details, and record information in the CRM before handing off to the appropriate salesperson.
  • Sales Cycle Support: Assist the sales team from the point a job is awarded through project completion and payment collection.
  • Permitting & Compliance: Prepare and submit permit applications; track approval status; schedule and coordinate inspections as required.
  • Documentation & Communication: Maintain accurate job files, including contracts, permits, inspection reports, and change orders. Provide timely updates to sales staff, clients, and internal departments.
  • Invoice Preparation: Coordinate with the accounting team to generate and send invoices promptly upon project completion or per contract terms.
  • Payment Tracking: Monitor accounts receivable for assigned projects, follow up on overdue balances, and assist in resolving payment issues.
  • Interdepartmental Coordination: Serve as a liaison between sales, project management, operations, and accounting to ensure all project milestones are met.
  • Customer Service: Address client inquiries and concerns in a professional and timely manner throughout the project lifecycle.

Qualifications:

  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with a professional phone presence.
  • Experience in permitting, inspections, or project coordination is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM/project management software.
  • Detail-oriented and proactive problem solver.

Reports To: Sales Manager or Sales Department Lead

Work Environment:
This position is primarily office-based, with occasional visits to permitting offices, job sites, or inspection locations as needed.
