  • Oversee the day-to-day operations of the office, including correspondence, supply requests, and clerical workflows
  • Lead and coordinate the receptionist and runner teams, ensuring every service request is handled seamlessly from intake through procurement, delivery, meeting setup, and follow-up
  • Manage food and beverage services — inventory, ordering, and coordination with support staff — to meet the needs of meetings, events, and daily hospitality
  • Support the scheduling of meetings, appointments, and conference room usage
  • Train, cross-train, and mentor front office staff on an ongoing basis
  • Partner with HR to roll out and maintain office policies
  • Build and manage vendor relationships, negotiating pricing and ensuring invoices are processed and paid on time
  • Continuously evaluate office processes and recommend improvements to boost efficiency
  • Warmly greet and assist visitors, setting the tone for a positive guest experience
  • Take on additional responsibilities as the needs of the office evolve

Qualifications

  • Minimum of 5 years of office management experience, ideally in a hospitality-driven or fast-paced, service-oriented setting
  • Demonstrated success in office management, administration, or a closely related field
  • Deep understanding of office systems, procedures, and professional etiquette
  • Experience negotiating and managing contracts for office equipment and services
  • Hands-on proficiency with office technology, including Mac systems, copiers, and phone systems
  • Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint), macOS, GoToMeeting, and Smartsheet
  • Flexibility and composure under pressure
  • Sharp attention to detail paired with strong problem-solving instincts
  • Excellent written and verbal communication skills, with confidence engaging both clients and internal teams
  • Standout organizational, time management, and multitasking abilities

Work Location
