Job description

This role sits within Impact, which catalyzes collaborative philanthropy for effective giving at scale. We are seeking a proactive and highly organized Executive Assistant to support the Head of ICONIQ Impact and broader Impact team, serving as a trusted partner while helping the team manage executive priorities, important relationships, and key initiatives.

The Executive Assistant will play an important role in Impact's relationship stewardship across a broad network of business leaders, founders, philanthropists, investors, and other influential stakeholders. This individual will combine exceptional executive support with strong judgment, relationship acumen, and proactive ownership in a fast-paced, mission-driven environment.

What You'll Do
  • Serve as a trusted partner to the Head of ICONIQ Impact, proactively managing complex calendars, meeting preparation, travel, and competing priorities across multiple time zones.
  • Support important client and donor relationships by identifying engagement opportunities, tailoring communications, coordinating follow-up, and helping advance the team's broader engagement strategy.
  • Prepare executive-level meeting research, briefing materials, presentations, and agendas, and synthesize meeting notes and key takeaways for internal stakeholders.
  • Maintain relationship and pipeline activity in Salesforce, using data and reporting to track strategic touchpoints, drive follow-up, and support fundraising and business development efforts.
  • Drive email and event invitation campaigns from execution through follow-up, including recipient coordination, distribution, response tracking, and maintaining accurate status in Salesforce.
  • Draft thoughtful communications for senior leaders, including in urgent, sensitive, and high-stakes relationship situations.
  • Build strong relationships with executive support teams and colleagues across ICONIQ, orchestrating collaboration and identifying opportunities for greater coordination and engagement.
  • Own systems, processes, and projects that improve team effectiveness, anticipating needs, proactively solving problems, and ensuring important priorities move forward.
Ideal Candidate Background
  • 5+ years of experience in an executive support role, ideally supporting senior executives in a fast-paced, high-touch environment.
  • Demonstrated experience managing complex calendars, travel, meeting preparation, and competing executive priorities.
  • Experience communicating and coordinating across senior, high-stakes, or complex external relationships.
  • Experience supporting relationship-driven teams such as fundraising, business development, investor relations, client service, or similar functions is a plus.
  • Proficiency in Salesforce, including experience maintaining relationship or pipeline data.
  • Experience independently owning projects or processes and coordinating across multiple internal and external stakeholders.
  • Strong written communication skills and experience preparing polished materials or communications for senior audiences.
  • Familiarity with artificial intelligence tools and technologies is a plus. We value team members who are curious about leveraging artificial intelligence to enhance productivity, streamline workflows, and drive innovation.
What We Offer
  • Comprehensive Medical, Dental and Vision Insurance starting on your first day of employment.
  • Life and disability insurance coverage as well as family and wellness benefits including mental health benefits, fertility benefits, and back-up childcare.
  • A matching 401(k) program.
  • Commuter Benefits program.
  • Stipends to support wellness and hybrid working arrangements.
  • We support employees who wish to pursue professional designations/certifications and offer tuition reimbursement in addition to an allocation for books and other supplies needed for an individual's coursework.
  • Smart-casual dress code.

Location: Applicants are expected to work onsite in our New York office in accordance with our hybrid working policy.

Compensation Range: ICONIQ is required by law to include a reasonable estimate of the salary range for this role. There are several factors taken into consideration in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At ICONIQ, we apply a total reward philosophy where all aspects of compensation and benefits are taken into consideration in determining compensation terms.
