Job description

Fresh Mark is looking for an Account Specialist to join our sales team. In this role, you will be the primary point of contact for our customers and sales team, handling inquiries, processing orders, and ensuring smooth account administration. If you thrive in a fast-paced environment and take pride in accuracy and responsiveness, we want to hear from you.
What You'll Do
  • Serve as a first point of contact for customers and the sales team, responding to inbound phone and e-mail inquiries regarding orders, pricing, shipping, invoicing, and order status in a timely and professional manner
  • Enter and process customer orders accurately in Microsoft Dynamics 365, including both manual orders and EDI transactions, ensuring all details are correct before confirmation
  • Review orders and invoices for accuracy prior to shipment or billing, catching and correcting discrepancies before they reach the customer
  • Identify order-related issues and complaints, route them to the appropriate internal department with complete information, and follow up as needed to ensure resolution
  • Coordinate with Transportation Claims situations by promptly forwarding complete intake information
  • Process customer account transactions including credits, deductions, and short payments accurately and within required timeframes
  • Maintain pricing in Dynamics that is consistent with Sales-approved information, including seasonal manual pricing entered by purchase order instructions
  • Issue order confirmations to customers, the sales team, and brokers, and keep all parties informed of any changes or updates
  • Support day-to-day administrative needs including sample requests, check requests, customer portal access, and preparation of daily and weekly reports
  • Work cross-functionally with Sales, Transportation, Finance, and Operations to ensure customer needs are met and issues are resolved efficiently

What We're Looking For
  • High school diploma or equivalent required; associate degree or higher preferred
  • 1-2 years of customer/account service, order processing, or administrative experience, preferably in manufacturing, food production, or distribution
  • Experience with ERP or order management systems; Microsoft Dynamics 365 experience is a plus
  • Strong attention to detail and accuracy, especially with data entry
  • Clear and professional communication skills, both written and verbal
  • Comfortable managing multiple tasks and priorities at the same time
  • Proficient in Microsoft Office, including Outlook and Excel
  • Reliable, organized, and able to follow established procedures
