Job description

Position Summary
The Finance Manager is responsible for overseeing the financial operations of Elite Companies, Inc. and its affiliated construction and real-estate operations. This position ensures the accuracy of financial records, protects company assets, manages cash flow, and provides leadership with timely financial information for decision-making.
The Finance Manager coordinates financial processes across the Finance Department, maintains effective internal controls, and ensures accurate information flow among QuickBooks, construction-management systems, project teams, banking partners, and outside professional advisors.


Essential Responsibilities

Financial Reporting and Accounting

  • Oversee the company’s accounting records and general ledger.
  • Manage monthly, quarterly, and year-end closing processes.
  • Review bank, credit-card, accounts-payable, accounts-receivable, payroll, and balance-sheet reconciliations.
  • Prepare and review financial statements, supporting schedules, management reports, and variance analyses.
  • Ensure transactions are recorded accurately and consistently among companies, divisions, projects, and general-ledger accounts.
  • Coordinate year-end reporting, tax preparation, audits, and other financial reviews with the company’s CPA and outside advisors.

Cash Management and Banking

  • Monitor daily cash balances, expected receipts, upcoming obligations, and overall liquidity.
  • Prepare and maintain short-term and long-term cash-flow forecasts.
  • Manage banking relationships, loan documentation, lines of credit, and related reporting requirements.
  • Review and approve payment batches, wire transfers, ACH transactions, and other financial activity within established authority.
  • Monitor debt payments, borrowing requirements, and compliance with lender requirements.


 Construction Accounting and Job Costing

  • Oversee construction job-cost accounting and project financial reporting.
  • Review project budgets, committed costs, purchase orders, subcontracts, change orders, retainage, and actual costs.
  • Monitor project profitability and identify margin changes, cost overruns, billing delays, and other financial risks.
  • Work with project managers to ensure accurate and timely coding of project costs and commitments.
  • Oversee work-in-progress reporting, percentage-of-completion calculations, and related construction-accounting schedules, as applicable.
  • Maintain consistency between QuickBooks, construction-management systems, and supporting project documentation.


Accounts Payable, Receivable, and Payroll Oversight

  • Supervise accounts-payable, accounts-receivable, billing, payroll, and financial data-entry processes.
  • Review vendor setup, banking changes, invoice approvals, payment documentation, and subcontractor compliance records.
  • Monitor customer receivables, retainage, collection activity, and significant past-due accounts.
  • Review payroll registers, deductions, reimbursements, and job-cost allocations before processing.
  • Ensure appropriate documentation and approval are maintained for financial transactions.


Budgeting and Financial Planning

  • Lead preparation of annual budgets and periodic financial forecasts.
  • Compare actual financial performance with budgets and prior periods.
  • Provide management with clear explanations of significant variances and emerging financial risks.
  • Assist leadership with financial analysis related to projects, equipment, real estate, borrowing, staffing, and other business decisions.
  • Develop practical financial dashboards and performance measures for leadership and project teams.


Department Leadership and Internal Controls

  • Assist with assigning responsibilities, establish deadlines, review work, and maintain appropriate separation of duties within the Finance Department.
  • Develop and maintain accounting procedures, approval workflows, and document-retention practices.
  • Protect confidential company, employee, customer, vendor, and financial information.
  • Monitor financial systems and user access to reduce the risk of errors, fraud, duplicate payments, and unauthorized transactions.
  • Recommend improvements to accounting processes, reporting, and the use of QuickBooks and construction-management systems.


Authority and Accountability

The Finance Manager may review and approve routine financial transactions within established company policies and delegated authority. Significant borrowing, unusual transactions, major asset purchases, real-estate transactions, write-offs, and payments exceeding established approval limits must be referred to executive leadership or other authorized company representatives.

The Finance Manager is expected to promptly report material discrepancies, suspected fraud, cash-flow concerns, compliance issues, and significant project-financial risks to the Vice President: Director of Operations.


Qualifications

  • Associate’s or Bachelor’s degree in accounting, finance, business administration, or a related field preferred; equivalent relevant experience may be considered.
  • Five or more years of progressive accounting or financial-management experience.
  • Construction, real-estate development, homebuilding, or project-accounting experience strongly preferred.
  • Strong understanding of financial statements, cash management, budgeting, internal controls, accounts payable, accounts receivable, payroll, and job costing.
  • Proficiency with Google Suite, Microsoft Office (especially Excel) and accounting software; QuickBooks experience preferred.
  • Experience with Procore, Buildertrend, or similar construction-management systems is beneficial.
  • Strong analytical, organizational, communication, and problem-solving skills.
  • Ability to manage multiple companies, projects, priorities, and deadlines.
  • High degree of integrity, sound judgment, accuracy, and confidentiality.


Work Environment

This is primarily an office-based position with regular interaction with executive leadership, finance staff, project managers, employees, customers, vendors, subcontractors, lenders, and outside professional advisors. Occasional travel to project sites, financial institutions, or business meetings may be required.
