Our client, the U.S.'s largest commercial real estate services firm, has an exciting opportunity for an Administrative Assistant to support a large public-sector facilities and operations team in Columbus, OH. This 8-month contract-to-hire ole is ideal for an organized and detail-oriented administrative professional who thrives in a fast-paced operational environment and enjoys balancing data management, reporting, communication, and logistics coordination. Schedule is Monday-Friday, 8:00am-4:30pm.
Job Description:
โข Maintain and update operational databases related to facility compliance, licensing, and regulatory tracking
โข Manage administrative records for items such as elevator licenses, x-ray machine fees, and underground storage tanks
โข Coordinate procurement activities, including tracking goods and services, maintaining records, and supporting financial documentation
โข Monitor and manage the department's central inbox while responding to stakeholder inquiries in a timely and professional manner
โข Coordinate customer feedback communications and internal follow-up activities
โข Schedule conference rooms and assist with logistical coordination for meetings and team activities
โข Maintain and update mobile phone directories and related operational records
โข Prepare reports, spreadsheets, graphs, and presentations for management review
โข Conduct research, update confidential files, and support general business operations
โข Provide day-to-day administrative support to ensure smooth departmental operations
Must Have Qualifications:
โข 3+ years of experience in administrative support, executive assistant, or office operations roles
โข Strong organizational and multitasking skills
โข Excellent written and verbal communication skills
โข Experience managing data, reports, and spreadsheets
โข Ability to handle confidential information with professionalism and discretion
โข Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook
โข Strong attention to detail and ability to work independently
โข High school diploma or GED required

โข Experience supporting facilities, operations, or government-related teams
