Job description

Overview
This is a hybrid role - 2 days remote and 3 days in the Malvern, PA office.
The HRIS & Payroll Manager provides management and subject matter expertise for the Human Resource Information System (HRIS) platform and payroll operations. This role is responsible for the system administration, configuration, and optimization of the HRIS, as well as the accurate and timely execution of all payroll functions. In addition, this position plays a key role in overseeing HR analytics and dashboard reporting to identify insights, track trends, and support decision making. The HRIS & Payroll Manager leads a dedicated team, fosters a culture of collaboration, data integrity, and continuous improvement, and partners closely with HR, IT and other departments to align systems and processes with organizational goals.

Responsibilities
HRIS Management
  • Serve as the primary system administrator and owner for the HRIS platform, managing configuration, security, and data integrity.
  • Lead system implementations, upgrades, and enhancements in partnership with IT and external partners.
  • Develop, maintain, and improve HR data reporting, dashboards, and analytics to support leadership decision-making.
  • Maintain data integrity through creation of appropriate configuration controls, standards and processes, as well as regular audits of data.
  • Identify opportunities to automate and streamline HR processes through system capabilities.
  • Serve as the primary point of escalation for HRIS-related issues and end-user support.
  • Collaborate with HR teams including HR Business Partners, Benefits, Compensation, Training and Talent Acquisition to support teammate lifecycle events and workforce planning.
  • Manage relationships with HRIS vendors and other third-party solution providers.

Payroll Operations
  • Oversee end-to-end payroll processing for all teammate populations, ensuring accuracy, timeliness, and compliance with federal, state, and local regulations.
  • Manage and audit payroll cycles including off-cycle, and special payrolls (e.g., bonuses, equity).
  • Ensure timely and accurate tax filings, year-end activities (W-2s, ACA reporting), and garnishment processing.
  • Partner with Finance on payroll reconciliations, general ledger entries, and audit support.
  • Maintain up-to-date knowledge of payroll legislation and proactively communicate changes affecting operations.

Compliance and Controls
  • Partner with IT and Audit teams to establish and enforce data governance standards and audit controls.
  • Maintain a strong internal control environment over payroll and HR data, including segregation of duties and access controls.
  • Support internal and external audits by providing documentation, analysis, and timely responses.

Team leadership
  • Lead, coach, and develop a team of HRIS and Payroll professionals, fostering collaboration, accountability and professional growth.
  • Manage team workload, prioritization, and resource allocation to meet organizational deadlines.
  • Build a collaborative and solutions-oriented team culture.

Qualifications
Minimum Required Qualifications (including Programs/systems experience)
  • Bachelor's degree in related area.
  • 7+ years of progressive HRIS and payroll experience including at least 2 years in management or lead role.
  • Demonstrated expertise with the UKG HRIS platform or similar enterprise platform (e.g., ADP, Workday, SAP SuccessFactors, or similar).
  • Experience with Cognos BI or similar reporting tools.
  • Strong working knowledge of federal and multi-state payroll regulations, tax law, and wage and hour compliance.
  • Proven ability to lead and develop teams in a fast-paced environment.
  • Advanced proficiency in Microsoft Excel and data reporting tools.
  • Exceptional attention to detail, analytical skills, and ability to manage confidential information with discretion.
  • Demonstrated skills in customer service and stakeholder relationship management.
  • Strong written and verbal communication skills with both technical and non-technical users and across all levels of the organization.
  • Demonstrated ability to coach, manage, and develop teammates.
  • Demonstrated ability to seamlessly manage multiple projects and processes from design through execution.
