Job Duties
Chief Objective:
The major responsibility of this position is to support the Director of Scheduling and Constituent Affairs, as well as the Legislative and Policy Director, with constituent and legislative affairs matters. Specifically, this individual will engage with and provide information to the public on behalf of the Office of the Attorney General, and assist with legislative monitoring and tracking responsibilities. This position will focus on increasing awareness about the OAG's initiatives, services, and priorities while strengthening trust and collaboration.
The position coordinates and supports constituent and legislative outreach and engagement activities, including by answering calls, responding to emails, developing materials and information to address issues, and more.
Work Tasks and Duties:
Work alongside the Director of Scheduling and Constituent Services as an advocate for constituents by solving problems, answering questions, and explaining OAG's jurisdiction
Monitor OAG constituent email account, incoming mail, and phone log daily to receive, track, and respond to constituent inquiries, complaints, and requests via telephone, email, mail, and in-person communications
Direct calls to the appropriate sections and departments throughout the OAG
Help manage constituent affairs database and tracking system to ensure data is kept up to date and confidential
Weekly reports on communication with constituents, including but not limited to volume, top concerns, and resolutions of constituents
Work with the Director of Scheduling to develop and implement strategies to improve constituent services
Assist Legislative and Policy Director with:
o Maintaining the OAG Bill Tracking System, including assigning bills to appropriate sections, coordinating maintenance with IT, and responding to Legislative Desk email correspondence.
o Managing Enrolled Bill Review file systems and timely uploads into the relevant systems
o Managing the Agency Legislative Proposal review process, including timely uploads in the relevant internal system.
Monitor General Assembly dockets and committee meetings as needed and generate daily reports on tracked legislation during the legislative session.
Schedule and facilitate external meetings with legislative and policy stakeholders, including direct engagement with legislative offices.
Manage constituent affairs casework referred by legislative offices.
Draft talking points, one pagers, and other written materials to support legislative engagement.
Attend daily meetings with the Legislative and Policy Director during the legislative session.
Other duties as assigned.
Minimum Qualifications
A qualified candidate should have knowledge of state government and general assembly processes and procedures.
Strong written communication skills and experience with professional correspondence and persuasive writing is important.
Contact with elected officials, private citizens and community stakeholders requires good verbal communication skills and excellent phone etiquette.
Candidates must demonstrate excellent verbal and written communication skills and the ability to handle and prioritize multiple tasks while maintaining attention to detail.
Additional Considerations
Administrative skills including scheduling, organizing approval processes, and note taking are preferred.
A qualified candidate must have a related undergraduate degree in a liberal arts field or commensurate experience.
1-2 years of experience working in state government or for a elected official is preferred.
