Primary Purpose:
The Confidential Secretary position will support and assist the administrative staff toward efficient operations of the Assistant Superintendent(s) Department through the application of high level organization and technology skills.
Essential Functions:

- Accurate and efficient data entry into multiple applications and software systems including but not limited to Google Workspace (Docs, Sheets, Forms, Calendar, etc.), BoardDocs, CSIU, and Frontline
- Maintain files and verify all records with confidentiality in accordance with District policy, state and federal regulations
- Assist the Assistant Superintendent(s) with the preparation, organization, and maintenance of Board agenda items, supporting documentation, resolutions, reports and presentations
- Communicate verbally and in writing effectively in an active work environment
- Provide support and assist the Board Secretary, including preparation of Board materials, meeting records, public notices, correspondence, agenda management, and maintenance of official records
- Coordinate and maintain records related to complaints, investigations, personnel matters, student matters, grievances, legal inquiries, and other confidential administrative issues
- Assist with the administration, maintenance, review, publication, and distribution of Board policies and administrative regulations
- Coordinate and process Right to Know requests in accordance with District policy and Pennsylvania Right to Know Law, including maintaining records and tracking required timelines
- Provide administrative and clerical support to the Business Office and other Central Administration departments as assigned
- Ability to take direction
- Ability to manage confidential records using applicable software, databases, and spreadsheets
- Thorough knowledge of English, spelling, mathematics, punctuation, grammar, and vocabulary
- Ability to communicate in a positive and professional manner with all stakeholders.
- Prepare correspondence, reports, presentations, Board materials, contracts, memoranda, and confidential documents for the Assistant Superintendent(s)
- Maintain calendars, schedule meetings, coordinate appointments, and organize administrative activities for the Assistant Superintendent(s)
- Serve as a liaison between Central Administration, schools, staff, parents, community members, governmental agencies, and external partners
- Assist with the preparation and maintenance of state, federal, and local reports and documentation as assigned
- Maintain confidential records and files related to personnel, student matters, Board business, investigations, legal matters, and executive sessions
- Coordinate public inquiries and complaints, ensuring concerns are documented, tracked, and directed to the appropriate administrator for resolution
- Assist with the preparation and distribution of communications from the Office of the Assistant Superintendent(s)
- Coordinate special projects, committee work, and administrative initiatives as assigned by the Assistant Superintendent(s)
- Maintain meeting minutes, records, files, and documentation associated with committees, administrative meetings, and assigned initiatives
- Perform other duties as assigned by the Assistant Superintendent(s)
Qualifications:
- Proven organizational and document management skills required
- Proficiency in the use and application of Google Workspace strongly preferred
- Three (3) to five (5) years of experience in clerical roles in a school district setting preferred
- Familiarity with CSIU and Frontline preferred
- Ability to collect, analyze, and interpret data to solve problems
Physical Demands:

- Some stooping, bending, and twisting of the body required
- Ability to lift and/or carry supplies and/or papers weighing no more than 20 lbs.

Term of Employment:
- Salary scale will be consistent with the Act 93 agreement
