Job description

About the Role

We are seeking a dependable and organized Receptionist / Office Assistant to serve as the first point of contact for visitors, customers, vendors, and team members. This role supports daily front-office operations, maintains a clean and welcoming office environment, assists multiple departments with administrative needs, and helps keep workplace supplies, mail and files moving efficiently.


Key Responsibilities

Front Desk and Office Support

  • Answer incoming phone calls and greet guests in a professional and welcoming manner.
  • Monitor the sales email inbox and respond or route messages as needed.
  • Assist custom project managers with customer call-ins, emails, and related administrative follow-up.
  • Maintain the front reception area and conference room so they remain clean, organized, and ready for guests.
  • Open, receive, and distribute daily mail and incoming packages.
  • Prepare UPS, FedEx, and other mailings or returns as needed.


Office Facilities and Supply Management

  • Open, close, lock, and unlock interior and exterior doors and turn on and off office lights: Mon-Fri 7:30am open, 4:30pm close Mon-Thu, 4pm close on Fri.
  • Maintain kitchen and breakroom supplies, including coffee, water, snacks, fruit, condiments, and other stocked items.
  • Load and empty dishwasher as needed throughout the week.
  • Order and replenish office supplies and keep supply stock organized.
  • Coordinate with vendors including cleaning service, shredding service, pest control, floor mat service, soap service, and related facility support providers.
  • Monitor shredding needs and schedule shred pickups when needed.
  • Help maintain office cleanliness between scheduled cleaning visits, including kitchen counters, sinks, refrigerator cleanouts, and front-area dust mopping.
  • Ensure common areas are stocked and welcoming for visitors.


Administrative and Department Support

  • Enter select purchase orders and inventory counts into the accounting system.
  • Support filing, scanning, mailing, and document organization for a couple of departments.
  • Update and print blank timesheets for one assigned department
  • Assist with year-end file organization, boxing, storage-room transfers, file cabinet updates, and creation of new file folders.
  • Order business cards and company apparel for departments as needed.
  • Coordinate birthday lunches, manager lunches, birthday cards, and related office hospitality needs.
  • Pick up lunches and assist with set-up or distribution when needed.


Qualifications

  • Strong communication and customer service skills.
  • Ability to stay organized while supporting multiple departments and priorities.
  • Comfortable answering phones, greeting visitors, handling email, and coordinating with vendors.
  • Basic computer skills (Teams and email), printing, scanning, data entry, and document organization.
  • Reliable, detail-oriented, proactive, and willing to assist with both administrative and light office upkeep tasks.
  • Ability to lift, carry, stock, and organize office supplies, packages, and breakroom items as needed.
  • Construction knowledge a plus.


Work Environment

This position is based in an office environment and requires regular interaction with employees, visitors, vendors, and department leaders. The ideal candidate enjoys being helpful, keeping things organized, and ensuring the office runs smoothly each day.
