Job description

Position Overview

The Money Transfer & Operations Associate manages the end-to-end processing of client financial transfers, annuity/insurance policy applications, and ongoing policy administration. Acting as a primary bridge between clients, carriers, and transfer institutions, this role ensures strict regulatory compliance, accurate data management, and exceptional client communication from post-sale execution through long-term account servicing.


$48-$56K + Bonus - DOE.  There is also an increase in pay potential upon taking and passing the insurance exam.


Key Responsibilities

1. Post-Sale Processing & Setup

  • Application Scrubbing: Thoroughly review incoming applications and e-apps submitted to carriers to ensure data accuracy and completeness ("Good Order").
  • Transfer Verification: Contact transfer institutions directly to confirm correct account details, requirements, and paperwork before submission.
  • Client Onboarding: Conduct welcome calls to introduce yourself, set realistic timeline expectations, and mail out initial "Thank You" welcome letters.
  • Records Creation: Establish digital client folders, initialize transfer history records, and populate the CRM/database tracking sheets.

2. Active Transfer Tracking & Servicing (Pending Phase)

  • Carrier & Institution Follow-Up: Proactively call transfer companies and carriers to track the status of outgoing transfers and Agent Ordered Funds (AOF).
  • Issue Resolution: Identify and resolve paperwork delays, missing signatures, or carrier discrepancies to keep transfers moving efficiently.
  • Client Communication: Call clients weekly to provide proactive status updates on their transfers and applications.
  • System Logging: Maintain meticulous notes and status updates across internal tracking sheets and CRM records.

3. Policy Issuance & Delivery

  • Audit & Verification: Upon policy issuance, review physical and digital policy documents to verify they match original application parameters.
  • Delivery Prep: Build customized Policy Delivery Books and coordinate with appointment setters to schedule delivery meetings with the client.
  • Final Processing: Record policy numbers, update transfer histories, and close out pending tracking sheets in the CRM.

4. Ongoing Policy Administration

  • Account Servicing: Process client requests for address updates, beneficiary updates, allocation changes, and Roth conversions.
  • Transactions & Claims: Execute requests for additional policy funding, free withdrawals, Required Minimum Distributions (RMDs), and death claims with carriers.
  • Annual Reviews: Prepare annual review materials, updated transfer histories, and required client disclosure documentation.

5. Reporting & Producer Support

  • Provide weekly pending-case status updates to assigned producers.
  • Track and log Year-To-Date (YTD) paid premium metrics.
  • Help compile weekly and end-of-year production reports cross-referencing paid premium, zip codes, and marketing sources (e.g., seminars).


Key Qualifications & Skills

  • Education & Experience: Junior College graduate (or equivalent). Experience in financial services, insurance processing, or money transfer operations is preferred.
  • Communication: Outstanding verbal and written English communication skills; comfortable making regular phone calls to clients, carriers, and financial institutions.
  • Technical Proficiency: Proficient in Microsoft Office (Excel, Word, Outlook) and CRM database navigation. Strong and accurate typing skills.
  • Detail-Oriented: Exceptional attention to detail for audit-level document verification, data entry, and record management.
  • Regulatory Compliance: Understanding of financial transfer protocols, carrier requirements, and privacy/compliance guidelines (training provided).
