Job description

The Business Services Representative provides operational support for the Association’s workforce development and youth employment initiatives and provides direct support to young adults participating in Youth Employment Program (YEP). This role oversees the programmatic lifecycle of each participant including logistics for worksite placements and mandatory program meetings and trainings. The Business Services Representative coordinates employer engagement efforts and assists the Program Manager with the implementation of business and workforce initiatives. This role ensures the achievement of program goals through excellent customer service delivery and the administrative support of core operational needs while fostering a collaborative and service-oriented culture. 

*This is a grant-funded position expected to run through March 31, 2027, with potential for extension*

SCHEDULE:

  • This position is Monday – Friday, 9:00AM – 5:30PM, with a 30-minute lunch break

WORK DESIGNATION:

  • In-Person at our Escondido Drop-In Center (150 La Terraza Blvd, Escondido CA 92025)
    • Please note that the work designation may change based on business needs.

PROGRAM SUMMARY:

The FastTrack Futures program serves young adults ages 18-28 who face significant employment barriers. FastTrack Futures will engage and support young adults as they prepare for good quality career pathways that are meaningful to them. Ongoing services will include access to free career training, paid internships, work readiness workshops, trauma-informed case management, and peer support.


  • Conducts employer engagement activities, including outreach, job development support, referrals, scheduling, communication, data entry, reporting, and record-keeping.
  • Oversees the full programmatic lifecycle of the Program Assistants participating in Youth Employment Program (YEP), including recruiting, screening, onboarding, and end-dating in accordance with program and grant requirements.
  • Coordinates all logistic requirements including orientation, worksite placements, required on-site meetings and training, and offboarding, and verifies participant attendance; communicates expectations, partner standards, and organization policies to ensure all Program Assistants are integrated into the program.
  • Ensures the accuracy, timeliness, and compliance of all program documentation, processing, and reporting; adhere to all federal, state, contractual, grant-funded, and organizational policies and regulations.
  • Serves as a first point of contact for YEP including Program Assistants, employer partners, and internal staff, providing timely, professional, and consistent communication; escalates complex inquiries or challenges to Program Manager.
  • Monitors YEP Program Assistants progress and gathers participant and employer feedback; with Program Manager input, implements corrective actions plans to support successful outcomes.
  • Navigates competing priorities and workload effectively to meet deadlines, performance metrics, and contract goals.
  • Works independently and collaboratively to develop and implement innovative approaches that support program objectives and enhance high-quality service delivery.
  • Participates in required meetings, professional development trainings, and designated agency-wide or grant-related committees.
  • Other duties as assigned.

TRAVEL REQUIREMENTS:

  • Must have access to reliable transportation to travel regularly throughout San Diego County  

  • Bachelor’s degree in business administration or related field, OR four (4) years equivalent related experience is required AND,
  • A minimum of one (1) year of experience with coordinating administrative processes, project coordination, or a combination of both AND,
  • A minimum of one (1) year of experience with direct customer service support required.

  • Proficiency in essential business software including Microsoft Office suite and general office equipment.
  • Strong customer service skills with the cultural sensitivity required to engage effectively with diverse and at-risk populations.
  • Exceptional verbal and written communication skills, including the auditory and visual ability needed to engage in extensive telephone communication and read digital, printed, and handwritten materials.
  • Proven ability to navigate competing priorities and meet deadlines while remaining focused and professional across multiple concurrent projects.
  • Strong organizational skills and a high degree of attention to detail.
  • Ability to build and maintain productive, professional relationships with internal colleagues and external community partners.
  • Demonstrates initiative and resourcefulness to apply effective solutions to operational or participant-related challenges.
  • High level of professional ethics, with a firm commitment to maintaining confidentiality and handling sensitive information with care.
  • Highly self-aware, flexible, and receptive to feedback, with a demonstrated willingness to adapt to evolving program needs.
  • Ability to perform repetitive data updates and documentation tasks with consistent speed, focus, and adherence to established protocols.

PRE-HIRE CONTINGENCIES:

  • Licensing, state law and our funders require that applicants of critical positions within Community Support Services be fingerprinted, prior to reporting to work, and include subsequent arrest notifications   
  • CPR/AED, and First Aid Certification, must include Adult and Child/Infant, within 30 days of hire, and must be from one of the following certifying organizations: American Red Cross, American Heart Association, or American Safety and Health Institute 
  • Position will require additional clearances in order to comply with all program, licensing, state law, and funding requirements:  
    • Exclusion and Debarment checks prior to first day and monthly thereafter
