Job description

Apex Marine, a division of Off The Hook Yacht Sales, is seeking a highly organized and proactive Sales Support & Closing Agent to join our Miami team.  If you thrive in a fast-paced, detail-driven environment and enjoy being the person who keeps complex deals moving forward, we'd love to hear from you.
Yacht Closings & Administration
• Coordinate all operational aspects of yacht closings from contract execution through final transfer
• Prepare, review, and track closing documentation, including purchase agreements, loan agreements, promissory notes, title documents, Coast Guard documentation, UCC filings, lien releases, payoff requests, and settlement packages
• Ensure all buyer, seller, vessel, lender, and compliance documentation is complete, accurate, and properly executed
• Monitor transaction timelines and proactively follow up on outstanding items to avoid delays
• Maintain accurate transaction files, closing checklists, and status updates throughout the closing process
Sales & Brokerage Support
• Provide administrative support to yacht brokers and sales leadership throughout the sales process
• Assist brokers with creating, updating, and managing vessel listings across company systems and third-party platforms
• Coordinate listing documentation, specifications, photography, pricing information, and marketing materials
• Support marketing efforts related to new listings, sold inventory, email campaigns, social media, and website updates
• Assist with CRM data entry, lead tracking, customer follow-up coordination, and sales reporting
• Help coordinate boat show logistics, events, and promotional activities
Coordination & Compliance
• Verify closing requirements are satisfied prior to disbursement
• Coordinate wire instructions, payoff requests, lien releases, and funding disbursements
• Confirm vessel ownership transfers, registration filings, and Coast Guard documentation are completed accurately
• Serve as a primary point of contact throughout the entire process
• Support process improvement initiatives that enhance operational efficiency and broker support
What You Bring
• 5+ years of experience in administrative, closing, sales support, transactional, title, finance, or operational roles
• Experience in yacht sales, marine lending, vessel documentation, luxury sales, automotive finance, or mortgage preferred
• Strong attention to detail with exceptional organizational and follow-up skills
• Ability to manage multiple projects, deadlines, and transactions simultaneously
• Strong written and verbal communication skills, with a high level of professionalism and discretion
• Proficiency with Microsoft Office (Excel, Word, Outlook), CRM systems, and marketing/listing platforms
