Role Purpose

As a Occupancy Planning Manager, you will be driving the development of tactical and strategic plans. Sequencing of building and floor level migrations as well as facilitating and/or resolving planning issues identified in customer meetings. You will ensure that planning is aligned with corporate guidelines, and that all scenarios maximize use of space. You will govern, educate, and enforce space policies/guidelines, procedures, and protocols with the account team. You will track and notify the client of customer requested exceptions; create and document all related reporting and as necessary, develop specific Planning Strategies for approval by Senior Leadership. You will be a Subject Matter Expert in the client's workplace program and the use of utilization data to drive solutions which increase productivity of the Workplace. You will, model superior client relationship management and strategic thinking.

You'll need to have a great knowledge in Corporate Real Estate. In this role, you will interact with organizational leadership, leading the team who will be identifying requirements, preparing, and updating status reports on actual seat demand versus projected seat demand at the site level or business unit level; reporting out on the current supply, capacity, and forecast inventory changes as required. Your team will be charged with assembling, updating, and reporting the top-down and bottoms-up seat count projections collected at the group-level for the projected planning horizon and work with the client to reconcile discrepancies from top-down projections, as well as track and report actual seat demand at the site and business unit level. You must be familiar with typical occupancy metrics, sharing ratios, and industry occupancy trends.

Key responsibilities include:

As an Occupancy Planning Manager, you will lead a team to deliver world-class occupancy planning strategies, from developing sophisticated blocking and stacking plans to presenting executive-level portfolio recommendations. As the subject matter expert bridging client relationships and cross-functional JLL service lines, you will leverage data analytics, emotional intelligence, and industry thought leadership to optimize real estate portfolios, maximize space utilization, and support transformative business initiatives.

You will be responsible for fostering partnerships with both the client's Real Estate Organization and end users to cultivate innovative space solutions. You will ensure consistent delivery of planning services and effectively managing and reporting occupancy data within the parameters of the client's workplace programs and strategy. Operating within a dynamic and forward-thinking culture, you will leverage your expertise in the creation of occupancy scenario and collaborative workplace practices to offer comprehensive solution options for intricate occupancy issues. This role requires four days (4) of onsite presence weekly.


To be successful in this role, you should be able to ensure accurate reporting of information, and foster critical relationships between various individuals and organizations. Communication channels will exist with:

  • Client Real Estate Organization to review and resolve planning forecast requirements, concerns, and issues.
  • Business Unit and HR leadership to collect headcount forecasts and resolve headcount forecast discrepancies between leadership's numbers and those collected at the group level.
  • Corporate Finance group to gather top-down headcount and growth projections.
  • Project management to review developed planning strategies which drive Capital construction projects and support the planning to implement these projects.
  • Relocation Project Management and facility management teams to review and approve requested moves, develop migration plans, and conduct facility audits.
  • Other members of the occupancy planning team to ensure cross campus/portfolio strategy plans are developed and followed

Required Qualifications:

  • 5-7 years of experience in corporate environment, preferably in strategic space /occupancy planning
  • Bachelor's degree in Corporate Real Estate, Finance, Architecture, Design or a related field.
  • Advanced skills in Microsoft Excel (pivot tables, VLOOKUP, cell calculations) and Microsoft Power Point
  • Proficiency in CAFM/IWMS software
  • Experience with AutoCAD for basic test-fits and square foot calculations
  • Strong analytical and problem-solving skills
  • Excellent written and verbal communication abilities
  • Strategic thinking and big-picture perspective.
