About the role
Our team at H3X is hiring a Workplace Experience Associate that will be a key player in our facility driving positivity & our high-performance culture. The Workplace Experience Associate is someone who facilitates making the office a place where people are excited to come to work every day. This position will blend culture-building, event planning, & day-to-day facilities operations.
The ideal candidate is someone who loves to create great experiences, is comfortable with ambiguity and change, and wants to grow into broader operational responsibilities as the company scales. In our startup environment, priorities shift quickly, and this role is built for someone energized by that pace and is looking for the opportunity to take real ownership in a growing company.
What you will do:
Culture & Team Experience
  • Plan and execute company events including offsites, happy hours, team lunches, milestone celebrations, and holiday parties end to end - from budget, vendors, and day of logistics
  • Own internal culture initiatives including onboarding support and employee recognition that help people feel connected as the company scales
  • Partner with the People Operations team with onboarding logistics and set up for new hires to ensure a great onboarding experience

Workplace & Facilities
  • Own the day-to-day office experience: supplies, snacks/beverages, work-stations, mail, plants, and general office upkeep
  • Manage vendor relationships (cleaning, maintenance, building management, catering) including negotiating contracts with external facilities vendors
  • Troubleshoot facilities issues quickly and efficiently. You are the go-to point of contact for facilities management (HVAC, plumbing, etc.)
  • Maintain a safe, organized, and welcoming physical workspace - including conference room upkeep, and new hire desk set up and planning
  • Assist with managing the office budget and expenses, tracking spend, look for cost savings, and assisting with broader accounts payable, invoice tracking, and documentation

Operations & Growth
  • Help build and document scalable processes and playbooks, enabling continuous improvement and repeatable and scalable processes
  • Support cross-functional projects as they arise. The goal in this role is a launch pad, not a ceiling
  • Take on stretch projects and increase ownership in other areas over time, like People Operations, executive support, procurement, AP/AR, or broader business operations based on your interests and strengths
  • Identify problems, and work to solve them proactively and independently

What we are looking for:
  • 1-4 years of experience in office management, workplace experience, event planning, HR coordination, hospitality, executive support, or related operational role
  • Passion for creating great experiences for people, big or small
  • Excellent organizational skills and the ability to juggle multiple priorities simultaneously
  • Strong communication skills, comfortable talking to vendors, executives, and new hires
  • Technical proficiency across a variety of software systems. Microsoft Office is a must, tools like Slack, Notion, ERP systems, AP/AR systems are a plus
  • Resourcefulness and a bias toward action. Looking to solve problems.
  • Experience managing a budget or vendor contracts is a plus
  • Prior experience at a startup or scaling environment is also a nice to have

Compensation
  • Annual Salary Target: $55,000 to $75,000 annual salary based on experience
