The Document Automation Specialist drives efficiency across the firm's legal operations by developing automated document generation processes. The Document Automation Specialist sits at the intersection of legal technology and practice innovation, leveraging AI-assisted drafting, intelligent document review, and research automation to help attorneys and staff deliver higher-quality work product faster.

Essential Duties and Responsibilities
  • Design, develop, and implement automated templates for various legal documents, including contracts, pleadings, and client correspondence.

  • Conduct regular audits of automated documents to ensure accuracy, consistency, and adherence to firm policies and legal requirements.

  • Work closely with attorneys, paralegals, and other stakeholders to gather requirements and ensure the automated solutions meet the firm's needs.

  • Analyze existing document generation workflows and identify areas for improvement, ensuring consistency and compliance with legal standards while also streamlining processes wherever possible.

  • Maintain document templates and style guides, updating them as needed to reflect changes in formatting or branding requirements.

  • Edit complex documents, including loan documents, forms, legal contracts, and correspondence, ensuring accuracy and consistency.

  • Format and style documents according to company guidelines, ensuring a professional and consistent appearance.

  • Provide guidance, training, and support to ensure high standards of work.

  • Monitor industry trends in legal technology and Generative AI, keeping the team informed of relevant advancements, risks, and best practices.

Knowledge, Skills, and Abilities
  • Deep expertise in document automation platforms (e.g., HotDocs, Contract Express, Avvoka) and familiarity with GenAI tools used in legal contexts (e.g., AI-assisted drafting, contract analysis, or research platforms).

  • Curiosity about emerging AI capabilities and a hands-on approach to deploying them responsibly in a legal environment.

  • Familiarity with coding or scripting languages (e.g., JavaScript, Python, XML) beneficial, particularly for building integrations between AI tools and existing systems.

  • Strong understanding of legal documentation, document management systems, and version control practices.

  • Awareness of ethical, confidentiality, and data-security considerations specific to deploying AI in a legal environment.

  • Knowledge of formatting styles and guidelines (e.g., APA, MLA, Bluebook, Chicago Manual of Style).

  • Strong attention to detail and excellent proofreading, editing, and quality-assurance skills-including the ability to critically review AI-generated output.

  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

  • Strong communication skills, both written and verbal, with the ability to translate technical concepts for non-technical stakeholders.

  • Ability to work collaboratively with cross-functional teams and individuals at all levels of the organization.

  • Strong problem-solving skills and the ability to troubleshoot technical issues related to document automation, AI platforms, and related systems.

  • High level of confidentiality and professionalism when handling sensitive and privileged materials.

  • Intellectual curiosity and a growth mindset, with a willingness to continuously learn and adapt as AI tools and legal technology evolve.

Education and/or Experience
  • Bachelor's degree in Information Technology, Computer Science, Business Administration, Legal Studies, or a related field.

  • Minimum of two (2) years' experience in document automation or broader legal technology.

  • Demonstrated success leveraging technology, including AI and automation tools, to improve workflows and solve long-standing business challenges.
