Job description

GENERAL POSITION SUMMARY:

This position is limited to 20-24 hours per week and is designed to accommodate a student internship participant in a Human Resources Management, public administration, business, or closely related field of study in support of the Human Resources Department.

ESSENTIAL JOB FUNCTIONS:

  • Assists with a wide variety of administrative and professional tasks in the Human Resources Department.
  • Provides research assistance, writes reports, and makes recommendation on matters under study.
  • Acquires working knowledge of department practices, procedures, equipment and organization system.
  • Schedules drug testing and physicals for new applicants and processes related payments; receives results of drug/physical testing; advises supervisor of results.
  • Serves as telephone reception - screening incoming calls; responding to inquiries, complaints, and concerns; taking and receiving messages; routing calls to appropriate staff; and conducting telephone inquiries to verify and gather information.
  • Assists with the Department's electronic and hardcopy record keeping systems to include organizing, establishing, and maintaining records.
  • Maintains strict confidentiality of all personnel actions, information, discussions and related information pertinent to the activities/operations of the Human Resource Department.
  • Interacts directly with colleagues, leaders, elected officials, the public and/or other internal or external constituencies in the performance of assignments and the resolution of day-to-day operations.
  • Engages in special projects and other similar tasks.
  • Perform other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of:

  • Microsoft Excel and Word, and ability to learn new technology systems very quickly and efficiently.
  • Business communication and professional etiquette.
  • HR information systems (HRIS) and database management
  • Recruitment and onboarding processes.
  • Payroll and benefits administration basics.

LICENSES, CERTIFICATIONS & OTHER REQUIREMENTS:

  • Must possess and maintain a valid Mississippi Driver's License and acceptable MVR.

WORKING ENVIRONMENT AND PHYSICAL DEMANDS:

Work is essentially sedentary with occasional walking, bending, climbing stairs, and lifting light objects. Work requires physical dexterity in the frequent use of hand-eye coordination and manipulative skills using fingers, limbs and body in the operation of a computer and other office machines and equipment.
