The Role

You are responsible for first impressions as people enter our office. You are responsible for calls, visitors, schedules, and information so leaders stay focused on work that matters. You move fast, solve problems on your own, and keep the office running during busy days.

Major Responsibilities

  • Own all inbound calls, triage urgency, and route or resolve without delays or dropped calls.
  • Prioritize calls and meeting requests based on urgency and business value.
  • Control visitor flow, security, and first impressions for clients, partners, and candidates.
  • Action and close support tickets within defined response targets.
  • Plan and support meeting logistics, room bookings, calendar invites, and room setup so meetings start on time.
  • Fix issues when things break, such as catering, room problems, or courier failures as they occur.
  • Manage office supplies, ordering, and invoice flow to Finance with tracking.
  • Support internal events with food, beverage, and on-site setup.
  • Receive, log, and ship packages and couriers without errors or delays.
  • Build strong working relationships across the company and with external partners.

Education and Experience

  • Daily use of Outlook, Word, Excel, and PowerPoint in a busy office.
  • Experience supporting employees in a fast-paced environment.
  • Experience handling high-volume calls, walk-ins, and urgent requests.
  • Strong organization and follow-through under pressure.
  • Post-secondary education and relevant office experience required.
  • Experience running projects or coordinating help.

Language Skills: Bilingual proficiency in French, Spanish or German is preferred to support our diverse client base across North America and globally.
