Position Summary

The Development Associate & Women’s Auxiliary Coordinator is responsible for providing day-to-day administrative support to the San Diego Development Team and working in partnership with the San Diego Women’s Auxiliary to implement fundraising opportunities. They must have strong organizational skills with a keen eye for detail. They must be flexible and able to handle multiple priorities simultaneously, have good judgment, be able to work independently or with little supervision, self-motivated, set priorities and apply excellent time management skills.

Pay Range

$75k/yr. - 80k/yr.

Essential Functions

Development Associate

  • Provides administrative support to the San Diego Development team.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Maintains staff confidence and protects operations by keeping confidential information.
  • Provide general support to the Director of Philanthropy when needed: including the management of calendars, meetings, preparing reports, and responding to phone inquiries.
  • Oversee special projects for the department, and as needed, at program sites, including coordination with different departments, staff, and community partners to ensure full execution and completion of projects, and delegating tasks or duties as necessary to optimize efficiency and outcomes.
  • Communicate with Corps officers as needed to gather information and data or coordinate events. Coordinate and implement mailings as requested.
  • Update donor records in donor database (BBCRM) as needed or requested.
  • Create acknowledgements for donors as directed.
  • Perform any additional tasks as deemed necessary for the smooth operation of the department and administrative support of the Director of Philanthropy.
  • Prepares reports by collecting and analyzing information.
  • Provides historical reference by developing and utilizing filing (hard copies/electronic) and retrieval systems, recording meeting discussions.
  • Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing inquiries.
  • Maintains professional and technical knowledge by attending educational workshops; and reviewing professional publications.
  • Contributes to team effort by accomplishing related results as needed.
  • Travels to different sites to arrange meetings, site tours as needed.
  • General clerical duties and other related duties as assigned.

Women’s Auxiliary Coordinator

  • Support Women’s Auxiliary initiatives and assist with meetings and events as needed.
  • Participate in and/or lead position-related meetings. Develop and deliver presentations as required and provide input and suggestions.
  • Work with program supervisors and Corps Officers to maintain and develop new Auxiliary job opportunities as they are needed for program growth.
  • Monitor Auxiliary projects effectiveness and request feedback and suggestions from members as a matter of standard procedure.
  • Create and develop Auxiliary job descriptions as needed.
  • Responsible for carrying out the decisions regarding Women’s Auxiliary business as requested by the Director of Women’s Ministries and other Women’s Auxiliary staff as required.
  • Facilitate all processing of Women’s Auxiliary check requests between The Salvation Army Representative, Command Finance Council (CFC) and the Women’s Auxiliary Treasurer.
  • Submit Contracts and expense requests as needed
  • Collaborate with the Public Relations team to support special events and programs
  • Keep up to date Women’s Auxiliary mail file and special reports
  • Maintain and process all membership applications, dues and correspondence.
  • Maintain the database containing Women’s Auxiliary information.
  • Maintains current and past membership information and distributes bi-yearly membership directory.
  • Maintains membership correspondence and notification of special events, volunteer opportunities, distribution of money, dues, thank you notes and invitations.
  • Maintain all files electronically and in hard copy for business, annual, statistical and historical reporting.
  • Maintain a yearly master calendar, yearly budget and any other requested documents with approval of the County Coordinator for San Diego and the SAWA President.
  • Maintains all program wish list information and prepares this information for processing and approval.
  • Supports and assists the Women of Dedication committee in all areas of planning, design and procedure for the annual fundraising event.
  • Manage and facilitate and sub-committee meetings and keep records of all monetary and in-kind donations, reservations, seating requests and donor information.
  • Update and maintain the Women’s Auxiliary web pages keeping all info up to date and current and maintain WOD ticketing website, process payments and data entry as needed.
  • Other duties as assigned.

Working Conditions

Must be able to sit, walk, stand, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis. Must be able to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead. Must be able to lift up to 25 pounds.

Minimum Qualifications

MINIMUM EDUCATION LEVEL:

  • Three years of experience in an administrative support position.
  • Experience in a high-pressure work environment, structures or assignments as needed.
  • Ability to meet deadlines and perform work with high level of performance expectations.
  • Experience working with the public, outside vendors and customers. Good customer relations experience.
  • High degree of experience in use of computer applications and platforms including database management software and basic office software (Word, Excel, PowerPoint or the equivalents)
  • Valid CA driver’s license.
