Job description

POSITION PURPOSE

The Receptionist serves as the first point of contact for St. Michael Parish, offering exceptional hospitality and service to all visitors and callers. This role provides critical administrative support to parish staff while creating a welcoming, Christ-centered environment. This is a fast-paced, high-profile position that requires excellent decision-making skills, strong organizational abilities, and a solid foundation in the Catholic faith.

ABOUT ST. MICHAEL PARISH

St. Michael Parish serves approximately 2,700 registered families and 7,000 individuals across two worship sites in Olympia, Washington. We are a vibrant Catholic community committed to worship, formation, service, and fellowship.

MAJOR DUTIES AND RESPONSIBILITIES1. Hospitality & Front Desk Operations
  • Provide exceptionally hospitable and welcoming presence for all parish visitors, connecting them to appropriate staff and resources
  • Answer telephone calls professionally and ensure accurate and prompt transmission of messages
  • Greet visitors warmly, provides assistance, and make appropriate referrals to parish staff and ministries
  • Accept fees, deposits, and donations for any ministry; issue receipts for cash and ensure timely processing
  • Pickup mail from Post Office and delivers to staff mailboxes. Delivers mail to Post office at end of the day. Manages annual PO Box subscription
  • Provide support for administrative requests submitted through AdminDesk system
  • Prepares checks for mailing and files supporting documents for bookkeeper.
  • Records anointing of the sick visits for Priest
  • Creates check request for vendors for admin, this includes, but is not limited to Capital Business Machine, CSC, Leaf, Office Depot, Postage Machine, etc
  • Coordinates with weekend receptionist by provide relevant, updated information each week.
2. Communications & Scheduling
  • Oversee and maintain the parish phone voicemail system, keeping it up-to-date
  • Provide assistance to parishioners with Mass requests and cards; maintain Mass Intentions schedule
  • Prepare and distribute staff lists and schedules, including break room cleaning schedule and contact information
3. Office Operations & Security
  • Ensure parish office is securely closed each evening by transferring voicemail to automatic pick-up, securing windows and doors, and turning off appropriate lights
  • Coordinate use of keys for parish facilities and laptop checkout as directed
  • Monitor and track the front office drop-off and pick-up drawer
4. Office Supply & Equipment Management
  • Order office supplies for staff through approved vendors (Office Depot, Amazon, etc.)
  • Match packing/delivery slips with invoices and prepare check requests for all items ordered
  • Process Amazon orders from staff and provide documentation for bookkeeping
  • Ensure office machines are maintained; monitor and track maintenance schedules and submit check requests for billings
  • Monitor parish postal machine account to ensure adequate balances are maintained; submit necessary paperwork for refills in a timely manner
5. Volunteer Coordination
  • Coordinate and schedule volunteers as needed for parish office projects
  • Recruit, train, and supports office volunteers
6. Staff Collaboration & Professional Development
  • Support both team and thematic goals established by parish leadership
  • Attend and participate in Team and Staff meetings
  • Maintain current knowledge and skills required to function as Receptionist through reading, training opportunities, or workshops as approved
  • Collaborate with Pastor and parish leadership in implementing the mission of the parish
  • Other duties as assigned

Required

  • Experience in reception, front desk or customer service related work.
  • Excellent verbal and written communication skills. Warm, welcoming, and professional phone and in-person demeanor. Ability to handle sensitive or confidential information with discretion.
  • Experience operating multi-line phone systems, including answering, screening, and transferring calls efficiently.
  • Proficiency with Microsoft Office (Word, Outlook, Excel) and general office equipment (copier, scanner, fax).
  • Proficiency with Google suite
  • Basic data entry skills with attention to accuracy.

Preferred

  • Experience in a Catholic parish, Catholic school, nonprofit, or faith-based organization.
  • Familiarity with ParishStaq, our current database system.
