Under the direction of a Property Supervisor and in collaboration with the Property Manager, the Assistant Property Manager is responsible for providing property management support in all phases of the day-to-day operation of an 80-unit supportive housing community for veterans and other low-income households. The Assistant Property Manager works with property manager and services staff to foster a healthy community life for the tenants. The Assistant Property Manager will assist in leasing, complying with regulatory and legal requirements, and documenting and coordinating maintenance requests to ensure that the building's appearance is well maintained. The Assistant Property Manager is also responsible for preserving open lines of communication between all parties involved in the operation of the subject property, and compliance with ACOF policies and procedures.


The Assistant Property Manager must be willing to work in a community-based setting, emphasizing commitment and staff initiative. This person should be comfortable working within an interdisciplinary team utilizing a strength-based social service approach. In addition, this individual must be able to work with persons from varying socio-economic backgrounds and possess excellent communication and interpersonal skills. Applicants must have an understanding of individuals with a range of disabilities, including physical, mental and emotional.


Responsibilities

  • Interview and pre-qualify applicants and maintain waiting list and/or submit referral requests via an established process with San Bernardino County and the Loma Linda VA. 
  • Responsible for ensuring tenant move-ins/move-outs are performed along with all required unit inspections. 
  • Collect and deposit rents. 
  • Work in conjunction with the Property Manager to coordinate building maintenance and repairs with a maintenance technician and outside vendors. 
  • Assist the Property Manager in meeting compliance requirements for investors and third-party agencies. 
  • Provide administrative support, including phone support, typing, reports, filing, and distribution of correspondence. 
  • Assist in ordering office supplies, completing maintenance work orders, and complying with office procedures in the property management manual and procedures. 
  • Maintain and update monthly reports.
  • Process daily mail and screen incoming calls. 
  • Perform regular walk-through of the property and conduct light housekeeping, as needed 
  • Provide professional customer service to tenants in partnership with services and maintenance staff. 
  • Respond to tenant complaints and questions professionally, fairly, and consistently, and within a reasonable time frame.
  • Perform backup manager responsibilities for nearby properties, as needed.

Requirements


To perform effectively in this position, the Assistant Property Manager must have:

  • High school diploma or equivalent.
  • Minimum one (1) year of property management experience, including LIHTC, HUD, and HOME programs.
  • Knowledge of Microsoft Office software (Word, Excel and Outlook)
  • General knowledge of property management software (Yardi, RealPage, etc.)
  • Professional and positive attitude towards tenants, staff, vendors, and other organizations.
  • Possession of a valid California Driver's License and automobile insurance
  • Access to a personal vehicle to be used to conduct ACOF business.
  • Ability to meet California minimum and ACOF insurance requirements.

Preferred Qualifications

  • AA degree
  • Two years' experience in affordable housing property management.
  • Bilingual Spanish-English .
  • Ability to develop and implement budgets and prepare variance reports
  • Skills in tenant problem solving and de-escalation.
  • Experience in or knowledge of the Housing First model for Permanent Supportive Housing
