Project Assistant

A well-established Chicago law firm is seeking a polished, dependable, and service-oriented Project Assistant to join its administrative team. This is a great opportunity for someone who enjoys working in a professional environment, interacting with attorneys, staff, clients, and visitors, and handling a variety of responsibilities throughout the day.

The Project Assistant will serve as back-up coverage for reception, assist catering needs and other administrative functions.

Responsibilities include:

  • Provide back-up reception coverage, including greeting clients and visitors in a professional and welcoming manner.
  • Answer and route incoming telephone calls when providing reception coverage.
  • Assist with visitor coordination and building/security procedures.
  • Assist with copying, scanning, document preparation, filing, mailing, and other administrative projects.
  • Coordinate catering for client meetings, attorney meetings, and firm events, including ordering, setup, presentation, and cleanup.
  • Prepare conference rooms for meetings and ensure rooms remain organized and client-ready.
  • Help maintain common areas, conference rooms, and hospitality areas.
  • Coordinate with vendors and internal departments when necessary.
  • Handle special projects and additional administrative responsibilities as assigned.

Qualifications:

  • 1–3 years of administrative, office, reception, hospitality, or professional services experience preferred.
  • Law firm or other professional services experience is a plus but not required.
  • Strong customer service skills and a professional demeanor.
  • Excellent verbal communication and interpersonal skills.
  • Comfortable interacting with attorneys, executives, clients, and visitors.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize multiple assignments and respond to changing needs.
  • Proficiency with Microsoft Office, including Outlook,
