Job Description
As an Engineering Coordinator, you'll play a key role in keeping daily operations running smoothly by coordinating work orders, supporting technicians, communicating across departments, and helping Engineering deliver exceptional service.
In this role, you will demonstrate Westgate's core values of Passion, Integrity, and Work Ethic in every interaction with guests and fellow Team Members.
What You'll Do as an Engineering Coordinator:
  • Coordinate and track engineering work orders from creation through completion.
  • Support Engineering leadership with scheduling, prioritizing service requests, and daily department operations.
  • Communicate with Front Desk, Housekeeping, and other departments to coordinate room access and guest readiness.
  • Assist with procurement, inventory tracking, purchase requests, and vendor communications.
  • Maintain accurate records and prepare reports related to work orders, maintenance activities, and department performance.
  • Help improve workflow efficiency by identifying opportunities to streamline processes and reduce delays.
  • Provide administrative support for Engineering systems, including work order management software (HotSOS or similar).
  • Serve as the primary communication link between Engineering and other resort departments.
  • Assist with departmental safety, compliance, documentation, and special projects.
  • Perform additional duties as assigned to support Engineering operations.

Qualifications
What You Will Bring:
  • High school diploma required; Associate's or Bachelor's degree preferred.
  • 1-2 years of experience in administrative support, facilities, maintenance, logistics, or operations.
  • Experience working in maintenance, engineering, construction, or hospitality environments is preferred.
  • Experience using work order management systems (HotSOS or similar); Oracle procurement experience is a plus.
  • Strong Microsoft Office skills (Excel, Outlook, Word).
  • Excellent organizational, time management, and multitasking abilities.
  • Strong written and verbal communication skills with a customer-service mindset.
  • Ability to work independently while supporting a collaborative team environment.
  • Strong problem-solving skills with exceptional attention to detail.
  • Valid driver's license required.
  • Ability to occasionally lift or move up to 25 pounds.
  • Availability to work flexible schedules, including nights, weekends, and holidays.
