Job description

The Patient Care Coordinator plays a vital role in supporting patient care across multiple specialty departments, including Radiation Oncology, Surgery, and Urology. This position requires a highly organized and compassionate individual with excellent communication and customer service skills. The Patient Service Coordinator will be responsible for providing exceptional patient support, ensuring smooth appointment scheduling, and assisting with a variety of administrative tasks that contribute to the delivery of high-quality care.

This position is for weekend shifts on Saturday and Sunday, 8:30 AM โ€“ 8:30 PM.

Responsibilities

Patient Communication & Support

Answer incoming phone calls, take accurate messages, and direct calls appropriately.

Respond to inquiries from patients, vendors, insurance companies, and healthcare providers.

Provide patients with information regarding appointments, procedures, and treatment plans.

Assist patients in navigating the healthcare system and resolving concerns with empathy and professionalism.

Patient Registration & Scheduling

Request and obtain medical records for new patients.

Scan and upload medical records and insurance cards into the electronic health record system.

Register new patients in Aria and Practice Fusion.

Schedule and confirm appointments for consultations, simulations, procedures, treatments, and follow-up visits.

Coordinate imaging appointments and request necessary authorizations.

Notify patients of appointment details (date, time, and location).

Request and track CDs of imaging studies.

Verify patient insurance coverage on a regular basis, particularly for patients undergoing treatment.

Administrative Support

Fax consult letters, follow-up notes, and summaries to referring physicians.

Prepare and send medical records to other providers or entities upon receipt of a signed release of information.

Support general office functions, including data entry, filing, and record maintenance.

Qualifications

Education: High School Diploma or equivalent required.

Experience: 2+ years of medical office experience, preferably in a specialty clinic or hospital-based department.

Language Skills: Bilingual Russian or Spanish preferred.

Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with Electronic Health Records (EHR), especially Aria and Practice Fusion, preferred. Strong computer and typing skills required.

Communication Skills: Excellent verbal and written communication skills, with strong interpersonal and customer service abilities.

Organizational Skills: Highly organized, detail-oriented, able to effectively prioritize tasks and manage multiple deadlines.

Customer Service: Demonstrated ability to remain calm, professional, and effective in high-stress situations.

Teamwork: Capable of working independently and collaboratively in a fast-paced clinical setting.
