What You’ll Do

The Mailroom Specialist is responsible for the daily processing, tracking, distribution, and maintenance of all incoming and outgoing mail for the firm. This position plays a critical role in ensuring legal documents, court correspondence, and client communications are handled accurately, timely, and in compliance with firm procedures. The ideal candidate must be highly organized, dependable, detail-oriented, and able to manage high-volume mail and printing operations.

Schedule: Monday through Friday, 9:30 AM to 6:00 PM

Work Location: In-Office Position

Major Duties and Responsibilities:

Administrative (100%)

  • Travel to the post office daily to retrieve mail from firm’s Post Office Box.
  • Travel to the post office daily to deliver outgoing mail.
  • Sort, track, scan and distribute all incoming and returned mail.
  • Ensure all incoming and outgoing mail is processed accurately and on schedule.
  • Operate printers, scanners, postage machines, and other mailroom equipment.
  • Maintain, organize and reconcile original legal documents inventory.
  • Monitor mailroom supplies/inventory and submit orders as needed.
  • Distribute incoming facsimiles (faxes).

Job Requirements:

  • High school diploma or equivalent required
  • Experienced in mortgage default, helpful
  • High degree of customer service
  • Advanced computer skills and ability to grasp new technologies
  • Error-free data entry skills and detail oriented
  • Ability to prioritize and multi-task frequently and/or shift focus quickly
  • Appropriate email and telephone etiquette
