As our practice continues to grow, we are looking for a Full-Time Veterinary Receptionist / Client Service Representative (CSR) to join our team and become an important part of the client and patient experience.

Our Client Service Representatives are often the first and last impression of our practice. You will play a key role in creating a welcoming, organized, and efficient experience for every client while helping our medical team provide excellent patient care.

Because we are a mixed animal veterinary practice, our front desk team supports a diverse range of patients and clients. You'll interact with pet owners, coordinate appointments, communicate with our medical team, and help keep the hospital running smoothly throughout the day.
  • Welcome Clients and Patients: Greet clients and their pets warmly, check patients in and out, and create a friendly, professional front-desk experience.
  • Manage Phones and Communication: Answer multi-line phones, respond to client questions, take accurate messages, and communicate important information to the veterinary team.
  • Schedule Appointments: Coordinate wellness, sick, surgical, follow-up, and other veterinary appointments while helping maintain an efficient daily schedule.
  • Support a Mixed Animal Practice: Communicate professionally with clients seeking care for a variety of animal species and help direct questions or concerns to the appropriate team member.
  • Client Service and Education: Explain routine services, vaccinations, medications, preventative care recommendations, and post-visit instructions while knowing when to involve a veterinary professional.
  • Estimates and Payments: Prepare and review estimates, process payments, create invoices, and communicate financial information clearly and compassionately.
  • Medical Records: Maintain accurate client and patient information, update records, scan and file documentation, and ensure important information is communicated appropriately.
  • Patient and Appointment Follow-Up: Assist with appointment confirmations, reminders, medical follow-ups, prescription requests, referrals, and other client communications.
  • Team Collaboration: Work closely with veterinarians, veterinary technicians, veterinary assistants, and management to ensure excellent patient care and a smooth client experience.
  • Reception Area and Hospital Support: Help maintain a clean, organized, professional, and welcoming front-desk environment.
  • Handle Sensitive Situations: Provide calm, compassionate, and professional service when clients are worried, emotional, or navigating unexpected veterinary expenses or medical concerns.
  • Previous customer service, client service, receptionist, or front-desk experience required
  • Previous veterinary, animal hospital, medical office, or healthcare experience highly preferred
  • High school diploma or GED required
  • Comfortable using computers, scheduling software, electronic medical records, and multi-line phone systems
  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Ability to multitask and prioritize in a fast-paced veterinary environment
  • Friendly, professional, dependable, and approachable
  • Compassionate toward animals and empathetic toward their owners
  • Comfortable discussing estimates, payments, and financial information with clients
  • Ability to work effectively as part of a collaborative veterinary team

Full-Time Schedule
  • Monday - Friday: 8:00 AM - 5:30 PM
  • Rotating Saturdays: 8:00 AM - 12:30 PM
  • Sunday: Closed
  • Full-time schedule with consistent availability during clinic operating hours
