Fred Hutchโ€™s Philanthropy program raises funds for cancer and related disease research, care, and education to help Fred Hutch become the worldโ€™s best cancer center. Since the April 2022 merger that led to the formation of Fred Hutchinson Cancer Center, Fred Hutch has served as the cancer program for UW Medicine, and Philanthropy is proud to raise funds that fuel the adult oncology program on behalf of both Fred Hutch and UW Medicine.

Theย Program Coordinator, Gift Services & Data Management, is a member of the Data Philanthropy program and reports to the Executive Director, Gift Services & Data Management. The Data Philanthropy program maintains and strengthens Philanthropyโ€™s infrastructure by managing, analyzing, and leveraging the data needed to inform organizational strategy and conduct the operations that engage and steward Fred Hutch stakeholders.

The Program Coordinator, Gift Services & Data Management, manages the team's essential day-to-day administrative responsibilities, as well as special projects related to the maintenance and growth of Philanthropyโ€™s infrastructure and operational goals. The Gift Services team efficiently manages a high volume of donor contributions, processing over 80,000 gifts and 200,000 transactions annually to ensure timely donor acknowledgment and stewardship.

Some travel and weekend and evening work may be required.

This role will have the opportunity to work partially at our campus and remotely, with a minimum three days per week at our South Lake Union campus.


Primary/Essential Duties

  • Accurately process high-volume gift and transaction data, ensuring data integrity and compliance with established gift processing workflows and standards.
  • Field constituent, gift record updates and other maintenance requests via Smartsheet.
  • Serve as a liaison to other teams within the department, Mail Services and Accounting.
  • Collaborate with the Accounting and cash receipts team to ensure accurate financial reporting, timely reconciling, and adherence to charitable tax deduction requirements.
  • Provide general administrative support for the team which may include answering emails and phones; providing meeting support including scheduling, drafting agendas, and taking minutes; managing
  • ProCard and budget reconciliation; implementing electronic filing; and making conference room reservations.
  • Coordinate across teams to support program activities.
  • Respond to donor and/or internal inquiries while providing excellent customer service.
  • Responsible for complex data entry and data hygiene functions.
  • Carry out a portfolio of recurring assignments.
  • Follow established gift processing and gift handling procedures and documentation.
  • Collaborate to refine, improve, and document processes and process improvements.
  • Serve as an individual contributor; this role does not have people, program, or fundraising responsibility.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS:

  • Bachelorโ€™s degree or equivalent experience.
  • One year work experience.

PREFERRED QUALIFICATIONS:

  • Familiarity with tools and techniques to maintain high levels of accuracy in data entry and complex transaction processing.
  • Proficiency with Smartsheet and/or other project management software such as Asana, Microsoft Project, or Jira.
  • Excellent written, verbal, and interpersonal communication skills.
  • Highly developed organizational and information management skills.
  • Strong attention to a high level of detail and quality of work.
  • Ability to build relationships and work collaboratively within a complex organization.
  • Proficiency with Microsoft Office Suite and experience with a CRM, Raiserโ€™s Edge/RENXT, or related fundraising software.
  • Ability to handle and respect confidential and sensitive information.

The hourly pay range for this position is from $31.26 to $44.51 and pay offered will be based on experience and qualifications.
