About Trove Home Care
Trove Home Care provides compassionate, one-on-one, non-medical home care and companionship for seniors and individuals with special needs. We proudly serve clients throughout the Charlottesville, Williamsburg, and Richmond areas and are committed to providing dependable, high-quality care.
We are seeking a proactive and dependable Part-Time On-Call Scheduling Coordinator to provide additional support to our existing on-call scheduling team. This is a supplemental position primarily focused on rotating weekend coverage, with additional opportunities to provide coverage during team vacations and occasional holidays.
What This Role Looks Like
This position will primarily provide rotating weekend coverage, averaging approximately 4-8 working hours per weekend when scheduled.
This person will also serve as backup support when members of our current on-call team are out of the office or on vacation. Additional holiday coverage may occasionally be available depending on the needs and availability of the existing team.
Because this is an on-call scheduling role, actual working hours may vary depending on caregiver call-offs, scheduling changes, and other after-hours needs.
Key Responsibilities
  • Respond to caregiver call-offs, scheduling conflicts, and urgent after-hours needs in a timely manner.
  • Coordinate caregiver coverage using our scheduling system and by contacting available caregivers.
  • Monitor caregiver shift notifications, including clock-ins and clock-outs.
  • Communicate professionally with caregivers, clients, families, and members of the Trove team regarding scheduling changes.
  • Document conversations, scheduling changes, and necessary follow-up within WellSky.
  • Provide additional on-call coverage during team vacations and planned absences.
  • Follow established company policies and escalation procedures when handling after-hours situations.
Preferred Qualifications
  • High school diploma or GED required.
  • 1-2 years of scheduling experience preferred, particularly in home care or healthcare.
  • Experience with WellSky is highly desired.
  • Working knowledge of HIPAA compliance procedures.
  • Strong communication and problem-solving skills.
  • Ability to work independently and make timely, informed decisions.
  • Strong organizational skills with excellent attention to detail.
  • Comfortable communicating by phone and text with caregivers, clients, and families.
  • Proficient with computers and smartphones with access to reliable internet.
  • Ability to multitask and remain professional and customer service-oriented when handling unexpected scheduling needs.
Schedule and Availability
  • Part-time, remote position.
  • Rotating weekend coverage from Friday at 5:00 p.m. through Monday at 8:00 a.m.
  • Approximately 4-8 working hours per scheduled weekend on average.
  • Additional coverage opportunities during team vacations and planned absences.
  • Occasional holiday availability may be requested.
  • Availability during the week of December 21, 2026 is required.
  • Working hours may vary depending on scheduling needs and are not guaranteed from week to week.
  • Candidates must reside in either the Charlottesville, Williamsburg, or Richmond, VA area.

The pay range for this role is:
