Job description

The Office Coordinator assists in the administrative duties related to office and group departments. This position handles details of a confidential, critical and sensitive nature and must function efficiently and effectively in a professional environment. This position is required to independently manage multiple tasks and projects with competing priorities and deadlines from cross functional Groups. 


  • Ensures that various administrative tasks are performed in an effective and efficient manner. 
  • Creates purchase orders and processes invoices for the department, which includes but not limited to service vendors, outside contractors, and rental equipment. 
  • Provides support to policy management and updates. 
  • Assists in travel arrangements for management staff as necessary. 
  • Monitors lobby access activities and assists visitors as necessary. 
  • Answers and directs all incoming calls, determines purpose of callers and forwards calls to appropriate personnel or department. Provides information to callers pertaining to company and staff such as address, directions, titles, and departments, etc. 
  • Responsible for handling US mail that includes receiving, sorting, distributing all incoming mail, processes outgoing mail (sorts, weighs, applies appropriate postage) and maintains postage meter machine and related supplies. 
  • Responsible for handling delivery services such as Federal Express, United Parcel Service and Overseas Courier, prepares packages and documentation, logs data into computerized tracking system, prepares and maintains detailed reports. 
  • Maintains adequate level of office supplies including but not limited to office supplies, coffee supplies, snacks, janitorial supplies, cleaning and PPE supplies, etc. 

Required: 

  • Strong attention to detail and organizational skills 
  • Effective communication skills and ability to work cross-functionally 
  • Basic computer skills, including Microsoft Excel and data entry systems 
  • Ability to work flexible hours, including nights, weekends, and holidays. 

Preferred: 

  • Experience in a manufacturing or food production environment 
  • Knowledge of safety practices related to industrial or outdoor work environments
