Job Description
TITLE: Family Services Assistant -Weekend Evening Operations Assistant
REPORTS TO: Senior Family Services Manager
CLASSIFICATION: Non-Exempt
WORK HOURS: Saturday, 3:00 p.m. - 10:00 p.m.; Sunday, 3:00 p.m. - 11:00 p.m.
SUMMARY:
The primary responsibility of the Family Services Assistant is to assist the Family Services Weekend Manager with the operations of the Ronald McDonald House of Dallas (RMHD) during the designated weekend hours. The Family Services Assistant is knowledgeable of the mission, goals, and objectives of RMHD.
ESSENTIAL RESPONSIBILITIES AND DUTIES:
Operations Coordination:
  • Ensures front desk is staffed or RMHD Staff is reachable in the house via remote telephone during all hours of shift.
  • Communicates clearly with families on all RMHD policies and procedures.
  • Coordinates weekend activities and staffing with Weekend Manager and Resident Manager.
  • Communicates accurate eligibility criteria to referral sources and families.
  • Works with Senior Family Services Manager and Family Services Manager to ensure an effective transition for coverage.
  • Accepts referrals into the Guest Facility Manager application
  • Performs daily review of census utilizing the Guest Facility Manager application and coordinates with the Weekend Manager and Senior Family Services Manager on room availability status.
  • Coordinates check-in and check-out process with Family Services Manager, Senior Family Services Manager, and volunteers.
  • Handles data entry of current day activity information into the Guest Facility Manager application
  • Assists in the nightly closure of the facility.
  • Assists with the nightly closing of transactions and recording of the day's activity to include reconciliation of cash drawer, proper documentation of merchandise sales, and accounting for all receipts.
  • Assures that donations of goods and services are documented.
  • Communicates with the Senior Family Services Manager and Chief Operating Officer, if necessary, regarding family issues.
  • May be required to serve in an on-call capacity during weekend or holiday periods.

Facility Support:
  • Ensures security of facility is maintained by making regularly scheduled inspections of the premises and monitoring security video system.
  • Ensure soiled linen closets are checked twice per shift, soiled linens are collected, laundered, and folded before the end of shift.
  • Ensure the Family Janitorial Closets on each residential hall are stocked with adequate cleaning supplies and toiletries for family use.
  • Conducts daily inspections of RMHD and grounds to identify safety, maintenance, housekeeping, and overall appearance issues, and coordinates resolution with Senior Family Services Manager. Completes maintenance request forms as needed.
  • Monitors RMHD activity and maintains control of the facility usage by families, volunteers, and all other guests.
  • Responds appropriately to emergencies and incidents in accordance with RMHD Emergency Preparedness, Disaster Recovery, and Crisis Communication plans.
  • Ensures facility safety and security by checking all doors multiple times per shifts to make sure they are closed properly and locked.

Family Services:
  • Demonstrates an atmosphere of warmth, compassion, and support to ensure a nurturing atmosphere at all times.
  • Creates an atmosphere of hospitality and ensures the well-being and comfort of families.
  • Encourages family interaction.
  • Oversees family activities during assigned hours.

Volunteer/Community Relations:
  • Provides support and direction to weekend volunteers in collaboration with the Family Services Manager and Volunteer Coordinator.
  • Works with Community and Family Activities Coordinator and Volunteer Coordinator to coordinate tours for volunteers and groups during the weekend.
  • Communicates with Volunteer Coordinator about any unique situations with a volunteer.
  • Encourages volunteer interaction with families.
  • Maintains an awareness of Board functions and Board members in general.

Other duties as directed by supervisor, administrator in-charge, COO or CEO.
