The Maintenance Manager is responsible for leading the maintenance operations across the assigned Shepherd's Care Foundation portfolio, ensuring safe, reliable, and compliant building operations. The successful candidate will provide leadership to the maintenance team, oversee preventative and corrective maintenance programs, manage contracted services, support capital improvement projects, and foster strong client relationships while ensuring compliance with Shepherd's Care Foundation policies, regulatory requirements, and Aramark operational standards.

Job Responsibilities

Leadership & Operations

  • Lead the day-to-day maintenance operations across the assigned portfolio, ensuring safe, efficient, and compliant building operations.
  • The successful candidate is expected to actively support the maintenance team by assisting with work orders, inspections, troubleshooting, and facility assessments as required.
  • Supervise, coach, develop, and support maintenance employees, including orientation, scheduling, performance management, and ongoing training.
  • Plan, assign, prioritize, and inspect maintenance activities to ensure work is completed safely, efficiently, and in accordance with regulatory requirements and organizational standards.
  • Ensure appropriate staffing coverage and designate responsibilities during planned absences to maintain continuity of service.

Maintenance & Asset Management

  • Coordinate preventive maintenance, corrective maintenance, work orders, inspections, and asset management activities using the Computerized Maintenance Management System (CMMS).
  • Ensure maintenance records, asset information, and preventive maintenance schedules are maintained accurately within FitPro/CMMS.
  • Develop and maintain a comprehensive understanding of all building systems across the assigned portfolio.
  • Prepare repair estimates and assist in the planning and execution of maintenance and facility improvement projects.
  • Support capital renewal initiatives and coordinate contractors and vendors to ensure projects are completed safely, on schedule, and within scope.

Building Systems & Compliance

  • Oversee maintenance programs and regulatory compliance for HVAC systems, electrical systems, emergency generators, fire and life safety systems, medical gas and oxygen systems, building automation systems (BMS), access control systems, and other critical building infrastructure, as applicable.
  • Conduct fire and life safety drills and support emergency preparedness activities in accordance with regulatory requirements.
  • Promote a safe work environment and ensure compliance with Occupational Health & Safety legislation and all applicable regulatory requirements.

Vendor & Financial Management

  • Manage contracted maintenance services, including obtaining quotations, coordinating vendors, monitoring performance, and verifying completed work.
  • Manage procurement activities related to maintenance, including purchasing, contractor administration, and inventory management.
  • Monitor maintenance budgets and ensure the effective utilization of labour, equipment, materials, and contracted services.

Client Relations & Continuous Improvement

  • Develop and maintain effective working relationships with clients, residents, contractors, vendors, and Aramark associates.
  • Maintain proactive communication with the Client regarding operational priorities, staffing changes, planned maintenance activities, and service impacts.
  • Keep the Client and General Manager informed of maintenance priorities, operational issues, capital requirements, risks, and service improvements.
  • Maintain departmental quality assurance programs and identify opportunities to improve operational efficiency, productivity, and preventive maintenance processes.
  • Participate in Home, Community, and District committees as assigned.

Reporting & Administration

  • Prepare and submit weekly, monthly, annual, and other operational reports as required.
  • Maintain confidentiality of resident, client, and operational information.
  • Perform other duties as assigned in support of the maintenance operation.
Qualifications
  • Minimum 3–5 years of supervisory experience and at least 5 years of building operations experience in the maintenance department of an acute care, long-term care, continuing care, senior living, or congregate living facility.
  • Experience managing contracted maintenance services, procurement, and obtaining quotations for construction, repair, and maintenance projects is required.
  • Degree in Facilities Management or a related field from a recognized Canadian institution. Relevant certifications or equivalent experience will also be considered, including Certified Engineering Technologist (CET), Certified Facility Manager (CFM), Building Environmental Systems, Building Operator Class 4 (Alberta), or a recognized skilled trade certification- CFM or CET.
  • Knowledge of Canadian Standards Association (CSA) codes and applicable federal, provincial, and local regulations related to building operations and maintenance.
  • Demonstrated experience using a Computerized Maintenance Management System (CMMS) to manage preventive maintenance, work orders, asset management, and compliance reporting.
  •  Strong leadership, communication, organizational, and interpersonal skills.
  • Financial acumen with experience managing operating budgets and analyzing maintenance expenditures.
  • Physical ability to lift and move equipment and materials and perform duties that require standing and walking for extended periods.
Working Conditions
  • This position is based at Kensington Village, with regular travel to other Shepherd's Care Foundation sites within the assigned portfolio.
  • Occasional after-hours support may be required to respond to operational emergencies and critical building issues.
  • The role requires frequent interaction with residents, clients, contractors, vendors, and multidisciplinary care teams in an active healthcare environment.
