With Arketa, studios can manage schedules, accept bookings and payments, build on-demand video libraries, host retreats, run automated marketing, and launch fully branded apps and websites. We make it simple for founders to deliver a seamless, professional experience across every customer touchpoint. We've raised $15M in Series A funding and are growing quickly. About the Role
You'll be the support layer for our partnerships lead and our gifting lead. That means keeping trackers current, prepping materials, packing and shipping gifts, and making sure the small stuff is handled so events run clean. A lot of this is administrative and repetitive by design. If you like checking things off a list and being the reason nothing falls through the cracks, you'll do well here.
This role is in-office 2 days a week in NoHo. It will be 15 hours per week across those two days. This is a part-time W-2 employee.
This will be from September to December 2026.
What You'll Do:
  • Event support
    • Prep materials for dinners, conferences, and studio activations: name tags, printed collateral, packing lists, signage
    • Format and update run of show docs and timelines as details change
    • Enter and clean guest list data, log RSVPs, and print check in sheets
    • Pack and ship event supplies to venues and conference booths, and track shipments
    • Help on site at NYC events: setup, check in table, breakdown
    • Collect receipts, log expenses in the budget tracker, and take recap notes after each event

    Partnerships admin
    • Keep Notion event and partner pages tidy and up to date with the latest details
    • Add events to the partner calendar and update dates as they shift
    • Build and clean contact lists in HubSpot, tag contacts by event, log attendance
    • Pull basic research on studios, brands, and industry events into a simple list format
    • Schedule calls, book travel, and handle other scheduling logistics as needed

    Gifting support
    • Coordinate weekly gift box assembly with contractors and format address lists for Shippo; confirm each batch of weekly gifts ships on time; be responsible for organizing gift material orders to contractors + tracking shipments.
    • Assemble, pack, and ship gift boxes for events, partners, and VIP sends.
    • Prep the weekly Oura gift-card upload files for TotusDirect and other vendors (recipient name, email, mobile).
    • Count and organize swag and gifting inventory at the studio.
    • Take photos of gifts and event setups for our files and social.

What we're looking for:
  • Current student or recent grad with an interest in fitness, wellness, or events
  • Extremely organized. You keep a list, you work the list, you don't need reminders
  • Comfortable in spreadsheets. Bonus if you've touched HubSpot, Notion, or Canva
  • Can write a clear, polite email to a vendor
  • Willing to do the physical work: moving boxes, packing gifts, standing through events
  • Available for occasional evening and early morning events, and the odd weekend conference
