Job description

Albany State University is a fully accredited senior unit of the University System of Georgia. Location
Our West Campus is located at 2400 Gillionville Road, Albany, GA 31707. Our East Campus is located at 504 College Drive, Albany, GA 31705. The Human Resources office for both campuses is located on the West Campus in Building K, Suite 111.
Job Summary
The Student Worker supports the Admissions and Recruitment team in engaging prospective students and families, advancing the university's mission and enrollment goals. Responsibilities include hosting campus tours, assisting with information sessions and recruitment events, responding to inquiries via phone, email, and chat, and guiding applicants through admissions steps and deadlines. The role helps manage application materials and CRM data entry with accuracy and confidentiality, prepares outreach lists and mailings, and contributes to social media and peer-to-peer ambassador efforts that highlight HBCU culture and student success. The Student Worker collaborates with staff and student ambassadors, maintains a welcoming front-desk presence, schedules appointments, and provides general office support (filing, scanning, and inventory). Ideal candidates demonstrate professionalism, strong communication and customer service skills, cultural competence, attention to detail, and reliability. Some evening/weekend availability may be required during peak recruitment periods; FERPA compliance and training will be expected.

Responsibilities
Front desk and visitor support
  • Greet and check in guests; maintain a welcoming, student-centered environment.
  • Answer phones, emails, and chat; route inquiries and provide accurate information on deadlines, requirements, and next steps.
  • Schedule appointments for counselors; manage lobby flow during peak times.
Campus tours and events
  • Lead or assist with campus tours, info sessions, Open House, and yield events.
  • Prep materials (nametags, packets, signage); set up/tear down event spaces.
  • Track attendance, collect feedback, and support post-event follow-up.
Application and records support
  • Assist with opening, sorting, and scanning mail; match documents to applicant files.
  • Enter and verify data in the CRM/student information system with high accuracy.
  • Monitor checklist items; flag missing materials and basic discrepancies for staff.
  • Maintain confidentiality and comply with FERPA and office data protocols.
Outreach and recruitment support
  • Call, text, or email prospective students about application status, deadlines, FAFSA/financial aid steps, admitted-student tasks, and visit opportunities.
  • Support counselor travel prep (materials inventory, shipping, packing lists).
  • Participate in peer-ambassador efforts that highlight HBCU culture, student life, and success stories.
Digital and communications support
  • Draft short, student-voice messages and FAQs for email, chat, and social posts.
  • Update web pages, event listings, and QR codes under staff direction.
  • Help maintain content libraries (photos, testimonials, reels) aligned to the brand.
Office operations
  • Perform clerical tasks: filing, copying, scanning, inventory, and supply runs.
  • Keep reception and tour routes tidy; restock literature racks and welcome areas.
  • Track hours, follow shift schedules, and communicate coverage needs promptly.
Inclusion, professionalism, and safety
  • Model excellent customer service, cultural humility, and respect for all families.
  • Uphold HBCU values in every interaction; serve as a positive campus ambassador.
