Job Title:        Executive Assistant, Atlanta

Department:   Office of the President

Reports To:    Senior Executive Assistant

FLSA Status:  Non-Exempt 

Band:               B2, L3


JOB DESCRIPTION 

The Executive Assistant serves as the operational partner within the Office of the President, providing comprehensive executive support to ensure the seamless execution of the President's daily activities.

Working under the direction of the Senior Executive Assistant and reporting to the Deputy Chief of Staff, this position manages scheduling, travel logistics, meeting preparation, administrative coordination, and operational follow-through while providing backup support to the President as needed.

The Executive Assistant is responsible for executing the day-to-day administrative functions that enable the Office of the President to operate efficiently while maintaining exceptional standards of responsiveness, professionalism, and service.

PRIMARY RESPONSIBILITIES AND DUTIES: 

Executive Support

  • Assist in managing the President's calendar, appointments, and scheduling priorities.
  • Coordinate meetings, conference calls, and executive engagements.
  • Prepare meeting materials, agendas, briefing books, and supporting documentation.
  • Monitor calendar changes and communicate updates to stakeholders promptly.

Travel Coordination

  • Coordinate domestic and international travel arrangements.
  • Prepare detailed travel itineraries.
  • Arrange ground transportation, lodging, and meeting logistics.
  • Monitor travel changes and resolve issues proactively.
  • Prepare briefing books for the weekend and for travel ensuring the President and CEO is properly prepared.

Administrative Operations

  • Manage expense reports.
  • Maintain files and records.

Stakeholder Coordination

  • Serve as an administrative liaison between the Office of the President and internal departments.
  • Coordinate requests from donors, trustees, senior leadership, and external partners.
  • Ensure timely communication and follow-up on routine matters.

Office Continuity

  • Provide backup support during periods of heavy workload, travel, or absence of the Senior Executive Assistant.
  • Ensure continuity of Office of the President operations through effective communication and documentation.
  • Maintain awareness of executive priorities to support seamless coverage.

Administrative Excellence

  • Demonstrate exceptional attention to detail.
  • Maintain confidentiality in handling sensitive information.
  • Exercise sound judgment when responding to inquiries.
  • Anticipate routine administrative needs before they arise.
  • Deliver timely, accurate, and professional administrative support.

SUPERVISORY RESPONSIBILITIES


No supervisory responsibilities. 


QUALIFICATIONS: 

 

EDUCATION AND EXPERIENCE

Seasoned professional with a minimum of five years proven experience working at the C-Suite level and supporting senior leaders. A bachelor’s degree is preferred. Exceptional writing, editing and proofreading skills. Excellent organization and time-management skills.

Computer Skills 

Demonstrated proficiency in Blackbaud, Concur and ADP. Advanced proficiency with Microsoft Office Suite.

OTHER SKILLS AND ABILITIES


The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Experience managing complex calendars and executive travel.

Excellent organizational and communication skills.

Strong attention to detail.

Ability to prioritize multiple assignments in a fast-paced environment.

Advanced proficiency with Microsoft Office Suite.

ADDITIONAL INFORMATION

 

This is a full-time temporary position with the potential to become a permanent, regular full-time position based on organizational needs and performance. 


Salary Range: $75,000.00 To $80,000.00 per year (Salary is commensurate with experience.) This is a 5 days on-site per week, located in UNCF’s Atlanta Office.
