Job Title Event Coordinator, iMPAC Job Description
The iMPAC Event Coordinator serves as the primary coordinator of event planning and execution for iMPAC, supporting client engagement, social media outreach, operational excellence, and front-of-house experience for a wide range of college and community events.

The iMPAC Event Coordinator will serve in an administrative and operational role supporting daily office functions, customer service, ticketing, and the planning, coordination, and execution of events, both large and small, from conception through completion. The ideal candidate is highly organized, energetic, and passionate about the performing arts, and thrives in a fast-paced environment while balancing administrative responsibilities with hands-on event support, including evenings and weekends.

Candidate must exhibit exceptional customer service with current, potential, and internal clients and guests, as well as anyone who contacts iMPAC via event management software, email, phone, or in person, while serving as a primary point of contact for front-office operations including ticket sales, inquiries, and general support.
Job Duties
  1. Serve as the "manager of first impressions" by delivering exceptional customer service to clients, patrons, and guests via phone, email, event software, and in person.
  2. Support daily front-of-house operations, including box office activity, ticket sales, and resolution of patron concerns.
  3. Maintain positive working relationships with college personnel, students, clients, and community members.
  4. Coordinate logistics for performances, rehearsals, and events, including scheduling, space setup, staffing, equipment, and hospitality.
  5. Assist with booking events, client communication, and preparation of space usage agreements, contracts, and invoices.
  6. Develop and maintain event schedules and calendars, ensuring accuracy and resolving conflicts.
  7. Provide on-site event management, including oversight of event setup and breakdown, rehearsals, artist load-in/out, and operational execution.
  8. Coordinate event staff, volunteers, custodial services, and vendors during events.
  9. Support production needs including audiovisual, lighting, staging, signage, and client requirements.
  10. Troubleshoot and resolve operational issues in real time during events.
  11. Monitor ticket sales, report house counts, and ensure events are not oversold.
  12. Reconcile financial transactions (cash and electronic), ensuring accuracy between ticket sales and revenue collected.
  13. Assist with pricing coordination and ensure proper collection of applicable taxes and fees.
  14. Provide comprehensive administrative support including correspondence, reporting, filing systems, and records management (including event software).
  15. Process phone calls, emails, billing, and daily office operations efficiently and professionally.
  16. Support purchasing processes, vendor coordination, and documentation for part-time or contract employees.
  17. Maintain accurate and organized records for all events.
  18. Assist in promoting iMPAC as a premier venue through marketing efforts and outreach.
  19. Support and maintain iMPAC's social media presence, including content creation and audience engagement.
  20. Track and monitor event budgets, expenses, invoices, and vendor payments, as well as assist with reporting revenue for each event.
  21. Conduct post-event evaluations and recommend improvements to event processes and customer experience.
  22. Research and propose innovations to enhance event planning and execution.
  23. Ensure compliance with college policies, safety regulations, accessibility standards, and industry best practices.
  24. Maintain a flexible schedule, including evenings and weekends, to support events.
  25. Participate in the College's Employee Development Program and ongoing training.
  26. Perform other duties assigned by supervisory leadership.
Mandatory Qualifications
(M1) Bachelor's degree (or higher) in Business Administration, Public Relations, or appropriate field from a regionally accredited institution of higher learning.
(M2) Demonstrated experience in event management of large-scale events, promotion of events, social media outreach, and/or customer service environment.
(M3) Computer proficiency, including familiarity with Microsoft Office suite and social media platforms.
(M4) Excellent organizational, written, and oral communication skills.
Desirable Qualifications
(D1) Masters Degree from a regionally accredited institution of higher learning.
(D2) Prior experience working in a community college.
(D3) Prior experience with operation of event management/booking software.
(D4) Experience in graphic design.
(D5) Experience with audio visual equipment.
