Job description

Event & Scheduling Coordinator
Posting Summary
Facilitate the scheduling of UES spaces, services, and UES Campus Events equipment requested by university departments and student organizations as submitted through the scheduling software. Serve as the main point of contact for space scheduling and event-related inquiries. Interpret university policies to determine event eligibility. Meet with UVM event planners to understand their event needs and provide planning, consultation, and logistical support. Work collaboratively with the Event Production and Technical teams to facilitate event support requests. Work collaboratively with the UES Coordination team to support their scheduling needs. Coordinate/schedule aspects of UVM signature events such as commencement, orientation, and UVM Weekend. Recommend and assess central scheduling processes, identifying improvements. Analyze and report on the utilization of spaces used for events. Operate university vehicles, as needed, to attend meetings and support events. This position requires the ability to interpret and apply university policies, guidelines, and procedures. This position requires a detailed knowledge of indoor and outdoor UVM spaces. This position must engage in continued learning and practicing principles of social justice, inclusion, and environmental sustainability. Reports to the Assistant Director for Campus Event Services.
Minimum Qualifications (or equivalent combination of education and experience)
Bachelor's degree and three years of customer service, scheduling, or conference/event-related experience, or an equivalent combination of education and/or experience. Proficiency in Microsoft Office Suite. Effective communication and organizational skills. Ability to work with people at all levels and with varying skill sets and backgrounds. Ability to work effectively in a team environment and independently with limited supervision. Demonstrated ability to effectively work in a fast-paced environment. A valid driver's license to operate University vehicles. At certain times of the academic year, the ability to work flexible hours, including early mornings, evenings, and weekends, is required to support events. Demonstrated ongoing commitment to workplace diversity, inclusivity, and delivering a high-quality experience to customers.
Desirable Qualifications
Experience working in a higher education setting with college students. Experience with space scheduling software such as Event Management Software ( EMS ). Familiarity with databases and diagramming software. Experience in a union environment.
Anticipated Pay Range
$25.50 - $28/hr

Shift differential applies as explained in the collective bargaining agreement

A probationary period may be required, Occasional evening and/or weekends required (if non-exempt position, may result in overtime), Background Check required for this position
