Job description


Summary: A Construction Administrator (CA) is involved with managing assigned construction projects to ensure that each construction project is in line with business and client objectives. The CA ensures the identification and procurement of necessary resources, estimates project budgets, sets project scopes and schedules, delivers specified products and services, provides a high level of oversight of the multiple construction site(s), monitors quality and cost parameters and maintains close contact with clients. As a key member of the project team, the CA will ensure that projects hit their milestones. The CA is an active participant on the project team, to include the areas of best practices, policies, project methodologies, quality assurance and control, tools and templates.

Essential Duties/Major Responsibilities:

  • Collaborate with stakeholders to document project scope, deliverables, goals, risks, blockers, success measures and estimated resources needed.
  • Administer projects so they remain in-scope and meet budgetary, scheduling and quality requirements.
  • Create, manage and distribute project communications artifacts like charters, schedules and budgets.
  • Provide project status updates at predetermined time intervals to all stakeholders.
  • Communicate routinely to management, clients, project team members and other stakeholders, actively soliciting and addressing client and project team feedback.
  • May assist to create aspects of project proposals, RFPs, estimates and schedules.
  • Set and monitor project budgets and staffing requirements.
  • Ensure adherences to legally binding requirements.
  • Plan, schedule, monitor and report on activities related to the project, including subcontractor monitoring.
  • Develop and follow key project criteria metrics.
  • Develop project control and reporting procedures and manages changes in operational plan.
  • Plan and lead status review meetings, which may include internal team members, vendors and clients, which is further reinforced by having excellent meeting, workshop and conference facilitation skills, with proven knowledge of how to foster attendee participation and collaboration.
  • Deliver training; motivate the project team, as well as assist with resolving team conflicts.
  • Resolve technical and operational issues as required.
  • Maintain communication, project tracking and budget management software.
  • Other duties as assigned.

Education and Qualifications:

  • Bachelor’s degree in project management, architecture, business management or related area of study preferred; or an equivalent combination of education and work experience
  • 3 - 4 years of demonstrated experience as a Construction Administrator or Project Manager or similar position responsible for defining and managing project scope, timelines, profitability and effective delivery of products or services; residential housing construction and renovation experience helpful.
  • Strong proficiency with word processing, spreadsheets and presentation software.
  • Valid NY Driver’s license
  • Positive, can-do attitude
  • Able to succeed in a fast-paced environment.

Work Environment

  • Completes work both in an office environment and at construction sites.
  • Exposed to sounds and noise levels from construction vehicles, equipment and tools
  • Wears protective equipment often, such as hard hat, work boots, gloves, masks etc… when working on active construction site
  • Exposed to hot and cold temperatures, depending on weather
  • May work around others, when in an office environment.
  • May work in buildings without heat/air conditioning; portable trailers & unfinished structures.
  • Use vehicle to travel to construction sites and meetings.
  • May work over 40 hours, when required; including nights and weekends to meet deadlines.
