Job description

The Archdiocese of St. Louis strives to teach and share our faith, serve others, and foster unity throughout the St. Louis area.  Once a part of Kenrick-Glennon Seminary's campus, the Cardinal Rigali Center in Shrewsbury, MO is today the headquarters and curia (governing body) for the Archdiocese of St. Louis.

Job Summary

The Clerical Assistant provides administrative and clerical support to ensure the efficient operation of the office while promoting the mission and values of the Catholic Church. This position serves as a welcoming and professional point of contact for parishioners, students, families, visitors, and staff, and supports the day-to-day functions of the organization through effective communication, recordkeeping, and administrative assistance.

Job Responsibilities
  • Greet visitors, answer incoming phone calls, and respond to inquiries in a courteous and professional manner.
  • Provide administrative support to clergy, ministry leaders, school staff, or department personnel as assigned.
  • Prepare correspondence, reports, bulletins, meeting agendas, and other documents.
  • Maintain accurate records, databases, and filing systems, including confidential and sensitive information.
  • Assist with scheduling appointments, meetings, events, and facility use.
  • Process incoming and outgoing mail, emails, and other communications.
  • Coordinate office supplies and maintain inventory of materials and equipment.
  • Support parish, school, or ministry events through administrative preparation and follow-up.
  • Assist with data entry, recordkeeping, and preparation of reports.
  • Maintain calendars and assist with coordination of activities and programs.
  • Ensure compliance with organizational policies, procedures, and confidentiality requirements.
  • Perform other clerical and administrative duties as assigned
Job Requirements
  • High school diploma or equivalent required; associate degree or additional administrative training preferred.
  • Minimum of one to two years of clerical, administrative, or office support experience preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple tasks and prioritize responsibilities effectively.
  • Demonstrated attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
