Job description

Leave Administrator

We are seeking a versatile, adaptable, and experienced Leave Administrator to work on our Consulting team. The Leave Administrator provides comprehensive support and guidance to our clients regarding all aspects of employee leaves of absence. In this role, you will think critically across multiple levelsโ€”balancing high-level compliance with high touch employee and client support. You will leverage your foundational expertise in key HR areas, which may include Leave Administration, Payroll, Benefits, or general HR Operations, to manage complex leave from start to finish. This is a part-time hybrid role (32 hours per week) with benefits.

Key Responsibilities:

  • Drive the End-to-End Leave Lifecycle: Serve as the dedicated, single point of contact for clients and their employees, overseeing the leave from initial intake, eligibility assessment, and formal documentation to active tracking and successful return-to-work integration.
  • Leave Consultations: Lead leave consultations with employees; process, timelines, requirements, pay and answer any questions the employee may have.
  • Oversee Critical Regulatory Timelines: Own the strict administration of statutory deadlines, ensuring eligibility notices, rights and responsibilities forms, and designation notices are accurately customized and issued within federal and state-mandated windows (e.g., FMLA 5-day deadlines).
  • Dashboard Administration: Responsible for setting up, configuring, and maintaining dedicated leave of absence dashboards for each employee currently out on an active leave of absence, ensuring real-time status visibility and accurate data tracking for client stakeholders.
  • Provide Cross-Functional HR Support: Collaboratively assist the Sr. HR Consulting team with ad-hoc HR projects, and administrative support.

Skills & Experience:

  • 6+ years of Human Resource experience, with a preferred expertise in leave administration, benefits, or employee relations.
  • Proven Ability to Operate in the "Gray Zone": Exceptional analytical and troubleshooting skills, with a demonstrated knack for analyzing and recommending solutions for ambiguous, complex problems where there is no clear-cut script.
  • Strong Client-Facing Consultation: Extensive experience in a client-facing role where navigating relationships are critical.
  • In-Depth Legal & Compliance Knowledge: Comprehensive, up-to-date knowledge of federal and state HR laws (including FMLA, ADA, and complex California employment regulations).
  • End-to-End Project Coordination: Demonstrated experience coordinating and executing complex HR projects from initial discovery through implementation.
  • Technical Proficiency: Strong ability to learn new software quickly. You must have experience across the Google Workspace suite (Docs, Sheets, Drive, etc.) and hands-on experience navigating HR, payroll, or database systems with a high degree of accuracy.
  • Competencies:
    • Adaptability-The ability to effectively adjust to new conditions and handle unexpected challenges.
    • Actively and positively responding to change. The capacity to recover quickly from difficulties; toughness. The ability to be flexible and adapt to new demands when priorities shift, there are unexpected turns, and unplanned change.
    • Analytical Thinking- Understanding and solving complex problems through analysis.
    • Communication- The ability to convey and receive information effectively and efficiently, leading to understanding and desired outcomes.
    • Decision Making- The ability to analyze situations, consider options, and make informed choices to achieve desired outcomes.
    • Strategic Thinking- The ability to think on a broad scale, involving long term planning and consideration of the implications and consequences of proposed actions. The ability to outline business strategies for growth and efficiency.
