Job description

Scion Staffing has been engaged to conduct a search for an experienced Administration Manager for an established professional services organization. This is a highly visible, hands‑on leadership role overseeing the organization’s financial operations, human resources, benefits administration, client billing, and day‑to‑day office operations . This position offers a salary of $135,000 annually.

POSITION OVERVIEW

The Administration Manager will serve as a key operational and financial resource to organizational leadership, ensuring smooth and efficient business operations across multiple functions. This individual will oversee AP/AR, banking and financial transactions, payroll, client billing, employee relations, benefits and retirement plan administration, insurance, and facilities management. The ideal candidate is a highly organized and experienced professional who is comfortable balancing hands‑on financial responsibilities with people management and office administration in a fast‑paced professional environment.

RESPONSIBILITIES
  • Oversee Accounts Payable and Accounts Receivable functions
  • Manage banking activities, including trust accounting, credit cards, ACH transactions, wires, transfers, and cash‑flow monitoring
  • Prepare payroll and process payroll through Paychex
  • Prepare budgets and financial reports and partner with the organization’s CPA on annual taxes and 1099s
  • Oversee timekeeping and monthly client billing processes
  • Review and finalize invoices, prepare supporting cost documentation, and complete client account reconciliations
  • Monitor past‑due accounts, payments received, and weekly aging reports
  • Partner closely with organizational leadership and supervise unionized non‑attorney personnel
  • Manage employee relations, staff workflow, recruiting and interviewing for support positions, performance evaluations, and implementation of office policies and procedures
  • Coordinate employee health, dental, vision, and long‑term disability benefits
  • Track PTO and prepare semi‑monthly and monthly reporting
  • Oversee administration of 401(k) Profit Sharing Plans, partnering directly with the TPA and preparing necessary annual reporting
  • Process employee retirement contributions to investment companies
  • Prepare annual applications for professional liability, general liability, cyber, and workers’ compensation insurance
  • Oversee facilities operations, building services, equipment agreements, and office supply purchasing
QUALIFICATIONS
  • Proven experience in office management, finance/accounting, business administration, or a related operational leadership role
  • Strong hands‑on experience with AP, AR, banking transactions, reconciliations, payroll, billing, and financial reporting
  • Experience supervising employees and managing employee relations and workflow
  • Experience with benefits and retirement plan administration
  • Strong organizational skills with the ability to independently manage multiple business functions and competing priorities
  • Excellent communication skills and the ability to work effectively with senior leadership, employees, clients, vendors, and outside professional partners
  • Proficiency with Microsoft Office Suite, QuickBooks Pro, Paychex, and timekeeping/time management systems such as TimeSlips
COMPENSATION

This position offers an annual salary of $135,000 plus a comprehensive benefits package.
