Scarlett Chase Inc. is a performance luxury footwear brand that offers European handcrafted silhouettes to a global audience. The brand is built on a zero compromise premise: that high fashion and supportive comfort can coexist beautifully.
We are looking for an Operations Manager, Full Time, W2 employee, reporting to the CEO/Founder.
The Operations Manager owns the day-to-day that keeps Scarlett Chase running including inventory tracking, international production delivery coordination, reporting, vendor engagement and consumer fulfillment. This role is the CEO's closest partner on operational execution, keeping the business's core logistics streamlined, accurate, well documented, technologically integrated and continuously improving; dotted line support to CFO.
Business Operations
  • Manage day-to-day operational activities for Scarlett Chase with a primary focus on inventory, logistics, data analytics and fulfillment
  • Maintain and continuously improve the company's integrated technology stack including Shopify, Extensiv, Gorgias, Loop Returns, AWIN, Slack, and Trello
  • Work directly with the CEO to build, refine, and roll out SOPs, and train team members and vendors on them
  • Manage all customer facing integrations, including returns processing and warehouse fulfillment activities
  • Serve as the liaison to Scarlett Chase vendors, confirming service delivery and resolving operational questions; coordinate annual RFP/RFI process to reaffirm/identify new vendors
  • Complete weekly audits of the brand's website, social media, and press coverage for accuracy, functionality, content and merchandising opportunities; Manage the Scarlett Chase Inc. LinkedIn account
  • Manage affiliate marketing operations through AWIN and the contracting of vendors & content creators
  • Working directly with the brand's marketing resources, manage and expand the automated Q&A library and ensure customer service is meeting brand standards for responsiveness and outcomes

Reporting & Analytics
  • At the direction of the CFO, complete data collection and analysis for board reporting, forecasting, expense
  • attribution and pricing decisions
  • Analyze sales performance, sell-through, preorder demand, inventory levels, return rates, warehouse feedback and customer satisfaction to inform production planning, supply chain issues and inventory allocation
  • Support the build-out of automated reporting, integrating AI and other tools to streamline data gathering and KPI tracking
  • Lead a weekly review of customer activity and open items with the CEO; capture trends and provide monthly and quarterly snap shots of key KPIs, inventory and consumer activities to inform decision-making

Inventory & Fulfillment Management
  • Monitor inventory levels and drive proactive replenishment planning across product, packaging, and fulfillment
  • Own the fulfillment process: review open orders, manage fulfillment priorities and warehouse activities
  • Oversee returns processing through Loop and Extensiv
  • Coordinate inbound inventory with the warehouse, including shipment timing and receiving priorities
  • Maintain inventory records, Item Master data, and receiving documentation in Extensiv
  • Maintain an up-to-date inventory of the Scarlett Chase showroom; coordinate and process showroom orders
  • Monitor, manage and coordinate GTINs and the SKU library; deliver label files for new production orders
  • Manage Shopify and website product/content updates as directed by the CEO and/or web vendor

Events & On-Site Sales
  • Source, confirm, and coordinate event logistics
  • Manage inventory preparation, shipping, delivery and return for events; process related sales and billing
  • Partner with marketing to ensure events are fully promoted before, during, and after

Administrative & Executive Support
  • Support the CEO and CFO as requested, preparing presentations, reports, and company documents
  • Support organizational projects for the Scarlett Chase showroom and Scarlett's Closet
  • Ensure adequate showroom fulfillment and boxing supplies
  • Participate in planning sessions and vendor meetings daily along with CEO, CFO or as the primary representative of the brand

Qualifications
Essential Requirements
  • 3+ years of relevant work experience
  • Strong, demonstrated Excel skills
  • Strong, demonstrated analytical skills
  • Interest in luxury fashion & performance/technical wear

Additional Qualifications
  • Experience in inventory management, logistics, DTC retailing and/or apparel
  • Experience with Shopify and a 3PL /Inventory management platform (Extensiv or similar)
  • Experience with Gorgias, Loop Returns, AWIN, Slack, Trello; demonstrated capacity to ramp quickly with new tools and platforms
  • Highly organized professional with strong technology skills to efficiently transition between projects and deliverables, and to maintain the requisite knowledge and assessment skills to hold vendors accountable to goals and processes
  • Comfort and agility working within a growth stage company

Compensation
Full-time salary, with potential for performance-based bonus and equity participation.
