Your Future Team

Vigilant Wealth Management, a growing wealth management practice with approximately $3.8 billion under management as of June, 2026, is looking for a Wealth Advisory Analyst to join our team and begin a career in wealth management. You will work closely with a team of Wealth Advisors and CRAs to deliver our wealth planning value proposition to clients who are high net worth individuals and families. You will have a great opportunity to learn the industry with the goal of advancing down a wealth management career path.

This is a hybrid position, based in our Portland, ME office and work from home, with occasional travel between the two offices. You will report to the Principal.

What You'll Do

  • Direct support of Wealth Advisors and their books of business
  • Ensure the Wealth Advisor is prepared for all client/COI/prospect meetings
  • Assist with the creation and updating of client wealth plans, prepare presentations and other paperwork
  • Assist with completion of inbound wealth planning tasks
  • Be an active participant in the Wealth Advisory Committee and Sales Committee
  • Begin creating a multi-year business development plan to start creating a personal network
  • Assist with the onboarding of new clients, preparing account opening documents, working with clients and the custodian to provide an accurate and expeditious onboarding process
  • Manage internal client files, ensuring all data is current and accurate
  • Work with clients and related parties to process all manner of transactions including account opening, money movements, gifting, transfers of assets between custodians, and other account maintenance needs
  • Interface with the teams at Schwab Advisor Center and Fidelity, downloading and uploading forms, monitoring and verifying changes in the system, resolving issues and staying current with changing procedures
  • Work with our professional advisors, including CPAs, Estate Attorneys, Insurance Agents and others
  • Input and track client related data; ensure consistency and integrity across all technology platforms
  • Aid in client retention by providing exceptional client service; track and monitor client service standards and prompt Wealth Advisor to take action as needed
  • Manage your Wealth Advisors' calendars, schedule and organize activities, meetings, coordinate travel needs
  • Monitor publications to identify prospective clients and discover information about existing clients, locate opportunities for marketing events, attend offsite events as appropriate
  • Understand and implement practice compliance responsibilities

Skills and Requirements

  • Proficient in Microsoft Office suite
  • Knowledge of or open to learning the Tamarac Suite (portfolio accounting software)
  • SalesForce (CRM), WebEx, and Schwab Institutional and Fidelity's Wealthscape websites a plus
  • Strong oral and written skills
  • Attention to detail as it relates to composing, typing and proofing materials
  • Resourceful, analyzing and solving problems in a proactive manner.
  • Ability to exercise discretion with regard to confidential information and client sensitive situations; position requires tact and diplomacy
  • Ability to work beyond standard office hours and attend offsite events, as necessary, while managing and accounting for work time

What You'll Bring

  • Four year college degree with a background in finance or economics a plus
  • 0-5 years experience in the wealth management industry
  • Expectation to begin CFP® program imminently upon hiring
  • Experience with CRM related software is a plus
  • Experience with Schwab and Fidelity Advisor platforms is a plus
