WEALTH OPERATIONS MANAGER, Successful Investor Wealth Management Inc.

We are an established wealth management firm with 20+ years’ experience in independent portfolio management with assets under management of $1 billion and growing. We are transforming our business and experiencing significant growth, and as a result, we are currently hiring a new Wealth Operations Manager to oversee the overall operational functions of our Wealth Management team.  

We are seeking a seasoned investment professional who excels as a leader with strong organizational skills. Utilizing their solid financial background, this individual will draw from their vast experience to oversee the efficient management of our wealth department including the areas of portfolio administration, fund accounting, compliance and team operations.

The ideal candidate will bring a deep understanding of wealth management processes, regulatory and compliance requirements, and operational excellence. This, combined with previous management experience, proven success in process improvement and operational efficiency, as well as exceptional analytical and problem-solving skills will help ensure success in this role.  

KEY RESPONSIBILITIES

Operational Management

  • Oversee business operations, developments, project timelines, and employee productivity within the wealth management department to ensure optimal efficiencies are met and the department runs smoothly.
  • Contribute toward the development and implementation of business strategy, plans, and processes for the wealth Management department that align with the company's goals; Monitor and maintain the department’s technology and tools to enhance productivity.
  • Develop, implement, and optimize operational workflows for portfolio administration and fund accounting.
  • Analyze internal operations to identify areas of development and make recommendations for enhancements.
  • Collaborate with Portfolio Managers to align operational processes with investment strategies and client needs.
  • Manage relationships with third-party vendors, such as banks, software providers, and compliance partners.
  • Negotiate contracts and service agreements to ensure cost-effectiveness and quality service.
  • Collaborate with Senior Management to align operational goals with the organization’s strategic objectives.
  • Establish and ensure adherence to wealth management compliance, standards and procedures; maintain the documentation of department processes, policies, procedures, etc.

Portfolio Administration and Management 

  • Oversee the administration of client portfolios, ensuring accuracy in reporting and recordkeeping.
  • Maintain portfolio records, contracts, and compliance documentation to meet regulatory requirements and audit readiness.
  • Ensure timely and effective responses to client inquiries.
  • Oversee the development of client communication materials, such as statements, summaries, and notices.
  • Ensure the Client information, KYCs, and detailed and accurate notes are well-maintained in our client database.

Team Leadership and Collaboration

  • Manage, Lead and mentor a team, ensuring alignment with company values and department goals.
  • Provide training and support to maintain and enhance team members’ knowledge of systems, policies, and processes while always displaying a professional and courteous manner when dealing with clients.
  • Liaison with the Client Care Manager to ensure our Portfolio Manager's client service delivery is aligned with the company practices and guidelines.
  • Motivate, Lead, and foster a high-functioning team to drive their performance, engagement, and overall development.
  • Manage multiple team members through objective setting and periodic performance evaluations. Coach and discipline as necessary.
  • Oversee recruiting, new hiring training, and orientation for the department.
  • Work jointly with the Chief Compliance Officer to ensure regulatory requirements are met


REQUIREMENTS (Qualifications, Experience & Skills)

Required:

  • University degree in Business, Finance, or related discipline. 
  • 5+ years of experience in wealth management operations, portfolio management, or similar roles.
  • The successful candidate in this role must be eligible for, and able to obtain, registration with the Ontario Securities Commission (OSC) as an Advising Representative (Portfolio Manager); Current registration and in good standing with the Ontario Securities Commission as an Advising Representative (Portfolio Manager), is considered a strong asset. 
  • CFA designation is considered a strong asset.  
  • Knowledge of Finance and Fund Accounting.
  • Excellent spoken and written English communication skills.
  • Experience in a management role with direct reports, including coaching, motivating and disciplining. 
  • Proficient in Microsoft Word and Excel.
  • Strong knowledge of investment operations, regulatory compliance, and accounting principles.
  • Proven experience in process improvement and operational efficiency. 
  • Exceptional analytical, organizational, and problem solving skills.

This role is hybrid—one day remote and four days required in our office located near Yonge St. and Sheppard Ave. in North York, Toronto. We are seeking a dynamic and adaptable team member who can thrive in a fast-paced work environment to achieve our goals.
