We have an exciting opportunity for an Administrative Assistant! In this role, you will provide support to Financial Advisors and their clients through the client service model. Additionally, you will provide administrative support including reception, general office work, and the coordination and execution of office activities and initiatives.
Primary Job Functions
Office Administration
  • Provide office support. This includes typing and generating correspondence, forms, policies and general office documents. Provide support for client meetings.
  • Handle telephone calls, schedule appointments and take messages as necessary.
  • Serve as primary receptionist. Answer telephone, screen and route phone calls, and take messages as appropriate. Set up conference calls and video conferences.
  • Sort and deliver all incoming mail.
  • Handle standard correspondence as requested including form letters and responses to requests for information.
  • Keep standard forms up-to-date.
  • File and scan as requested.
  • Track future appointments.
  • Maintain new hire checklist and coordinate training tasks.
  • Establish, maintain and comply with orderly record keeping system, ensuring maintenance of confidential account files and proper workflow.
  • Support in generating reports for Management meetings and presentations.
  • Assist with meeting and travel coordination and expense requests.
  • Track and coordinate payment of corporate expenses.
  • Arrange for client and staff cards and gifts.
  • Coordinate marketing materials and client events.
Meeting Coordination
  • Schedule and coordinate meetings including booking meeting rooms, making travel arrangements, preparing agenda and meeting packets, obtaining and preparing exhibits, drafting minutes, communicating with Managers and Committee members, distributing meeting packets in a timely manner and circulating documents for signature.
  • Maintain records of meetings including agendas and exhibits. Coordinates all internal staff meetings including preparing agenda and staff meals.
  • Schedule, coordinate and prepare agenda for all meetings.
Education/Qualifications
  • High School Diploma is required; Associates Degree or higher is preferred
  • Professional presence; service oriented; positive and friendly attitude
  • Excellent oral and written communication skills required to develop team and client relationships
  • Strong attention to detail and process; Prioritizes completing accurate work
  • Proficient with Microsoft Office especially Word, Excel and Outlook
  • Good problem-solving skills; Ability to work with deadlines and prioritize tasks
  • As AI technology evolves, continued learning and adaptation to new AI tools and methodologies will be expected.
