What is a work breakdown structure?

A Work Breakdown Structure (WBS) is a project management tool that breaks down a project into smaller, more manageable components or tasks. It organizes and defines the total scope of the project by dividing it into hierarchical levels, making it easier to plan, assign responsibilities, and monitor progress. WBS is essential for creating schedules, estimating costs, and ensuring all aspects of a project are covered. It serves as a foundation for effective project management and communication among team members.

How does a work breakdown structure coordinator collaborate with project managers and team members during a project's lifecycle?

A WBS Coordinator works closely with project managers and various team members to ensure that project tasks are clearly defined, assigned, and tracked throughout the project lifecycle. They are responsible for breaking down complex deliverables into manageable components, facilitating clear communication among stakeholders, and updating the WBS as the project progresses. Regular meetings and status updates are common, allowing the WBS Coordinator to identify any issues early and make necessary adjustments to keep the project on track. This collaborative approach helps align efforts across departments and ensures everyone understands their responsibilities and deadlines.

What are the key skills and qualifications needed to thrive as a work breakdown structure specialist, and why are they important?

To thrive as a Work Breakdown Structure (WBS) Specialist, you need strong project management skills, attention to detail, and typically a background in project management or engineering. Familiarity with project management software such as Microsoft Project, Primavera P6, and knowledge of methodologies like PMI or PRINCE2 certifications are highly valued. Excellent communication, organizational skills, and the ability to collaborate across teams help someone stand out in this role. These skills are crucial for accurately defining project scopes, ensuring effective planning, and supporting successful project delivery.

Job description

Project Buyer – Design & Construction Services
Our client is scaling its data center footprint to support advanced AI workloads. We are seeking a Project Buyer with experience in hyperscaler or large capital projects to manage the tactical execution of procurement during the design and early construction phases.
This role combines the rigor of a buyer with a project management mindset. You will process purchase orders, coordinate across functions, and track commitments against project budgets and schedules. You’ll keep costs and approvals aligned with Work Breakdown Structures (WBS) and ensure that contractors, consultants, and stakeholders are on the same page.
Responsibilities:
  • Manage purchasing activity for design consultants, early-phase services contractors, and construction packages in support of data center build-outs.
  • Ensure all requisitions, purchase orders, and contracts are mapped to the project WBS and tied to approved budgets.
  • Track spend, commitments, and cost forecasts; highlight variances and provide input into project cost reporting.
  • Coordinate across engineering, construction management, finance, and legal to align procurement deliverables with project schedules and approval workflows.
  • Route contracts, change orders, and documentation for timely execution; maintain audit-ready records.
  • Act as day-to-day contact for suppliers and contractors, managing administrative and delivery coordination.
  • Support project controls with updates on budget utilization, schedule impacts, and procurement milestones.
  • Escalate complex negotiations or risk items to sourcing leads while independently managing routine supplier interactions.
Required Skills:
  • 3–5 years of experience in a buyer, procurement coordinator, or project procurement role, ideally in hyperscale data centers, large capex, or construction projects.
  • Familiarity with project management concepts (WBS, schedules, earned value, budget tie-outs) and their link to procurement.
  • Proven ability to manage procurement transactions at scale with accuracy and timeliness.
  • Strong coordination skills across engineering, project management, and supplier stakeholders.
  • Proficiency in ERP/procurement systems and cost tracking tools; advanced spreadsheet skills.
  • Bachelor’s degree in supply chain, construction management, business, or equivalent experience.
Compensation:
  • $75-$90/hour
