Job description

The Procurement Specialist supports purchasing activities across the company's construction, logistics, and warehousing departments, as well as office, marketing, catering, and special event’s needs. This role helps ensure cost-effectiveness, timely delivery, and quality and safety standards across all projects and facilities. The Procurement Specialist works closely with project managers, warehouse and logistics teams, department leaders, and vendors to support purchasing needs, vendor compliance, and inventory coordination.


KEY RESPONSIBILITIES

  • Source and purchase construction materials, equipment, tools, and consumables in line with project specifications and timelines.
  • Purchase warehousing supplies and equipment, and support inventory replenishment, safety stock levels, and reorder points in coordination with warehouse operations.
  • Purchase office supplies, equipment, and furnishings, and source marketing materials, promotional items, and branded merchandise.
  • Coordinate catering, food service, and purchasing needs for meetings, training sessions, and special events, including venues, vendors, supplies, and equipment rentals.
  • Identify, evaluate, and qualify reliable vendors and suppliers, and maintain the company's vendor portfolio to help ensure transparency of spending.
  • Support negotiation efforts to secure favorable pricing, delivery terms, and payment terms.
  • Track vendor performance, delivery reliability, and quality, and escalate concerns as needed.
  • Maintain purchase order and procurement records within the company's procurement system.
  • Support accounting with invoice matching, expense coding, purchase order discrepancy resolution, and reconciliation of procurement spend against budgets and cost codes.
  • Analyze purchasing costs, track price trends, and perform scenario analysis and benchmarking to identify cost-saving opportunities.
  • Identify supply chain risks (material shortages, price volatility, single-source dependencies) and support risk-minimizing strategies.
  • Collaborate with project management, warehouse, logistics, marketing, finance, and safety teams to align purchasing with department and company goals.
  • Utilize approved AI tools to support cost analysis, draft communications, organize purchasing and vendor data, and improve procurement workflow efficiency.


Qualifications

  • Bachelor's degree in supply chain management, logistics, construction management, business administration, or a related field preferred, or equivalent work experience.
  • 2–4 years of experience in procurement, sourcing, or supply chain, preferably in construction, logistics, or warehousing.
  • Working knowledge of construction materials, equipment, and subcontractor sourcing preferred.
  • Strong negotiation and contract coordination skills.
  • Good analytical and problem-solving abilities.
  • Understanding of market dynamics, material price trends, and sound business judgment.
  • Comfortable working with figures and collecting, analyzing, and interpreting data.
  • Experience with procurement software (e.g., Procore, SAP, Oracle, NetSuite, or similar) preferred.
  • Ability to manage multiple projects and meet deadlines in a fast-paced environment.
  • Intermediate level knowledge and experience with AI tools, including the ability to write clear prompts, compare vendor quotes and pricing trends, draft purchase orders and vendor communications, summarize contracts and proposals, and organize procurement data with minimal guidance.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Strong organizational and communication skills.
  • Valid driver's license required for occasional site and vendor visits.
  • Knowledge of OSHA safety requirements preferred.


Physical Requirements

  • Ability to sit or stand at a desk for extended periods.
  • Ability to perform repetitive tasks using a computer, phone, and office equipment.
  • Occasional travel to job sites, warehouses, or supplier locations, including exposure to outdoor and active construction or warehouse environments.
  • Ability to wear required personal protective equipment (PPE) when visiting job sites or warehouse facilities.
  • Ability to lift and carry materials or samples up to approximately 25 lbs. as needed.

Work Environment & Schedule
