Ward Clerk

The Ward Clerk provides administrative and clerical support within a correctional facility. This position ensures accurate documentation, recordkeeping, communication, and coordination between custody staff, medical personnel, case management, and other departments. The Ward Clerk plays a critical role in maintaining organized operations while adhering to correctional facility policies, confidentiality requirements, and safety procedures.

Essential Duties & Responsibilities

  • Maintain and organize offender files, records, and documentation in accordance with policies and state regulations.
  • Enter, update, and retrieve data using inhouse information systems and databases.
  • Prepare reports, logs, memos, and correspondence for supervisory staff.
  • Coordinate and track offender movement schedules, appointments, and program participation.
  • Answer phones, respond to inquiries, and route communications appropriately.
  • Process forms related to classification, medical appointments, disciplinary actions, and grievances.
  • Maintain confidentiality of sensitive information, including offender records and staff documentation.
  • Assist custody staff and supervisors with clerical needs and special projects.
  • Ensure compliance with security procedures while working within a correctional environment.
