Job Description

TES Consultants is seeking an AV/VTC Project / Event Coordinator to plan, direct and execute audiovisual and video teleconferencing productions for a federal agency client in the National Capital Region. This is a half-time position of approximately 960 hours per year, scheduled against the agency's event calendar rather than spread evenly across the week.

You will be the primary liaison between the customer, presenters, the technical team, and event logistics — consulting with meeting owners to determine objectives and technical requirements, developing production plans, run-of-show documents and contingency plans, coordinating rehearsals and presenter briefings, and directing live event operations so that transitions between speakers, presentations and multimedia are clean.

Between events you will help manage day-to-day operations of the AV and VTC estate: monitoring system health, coordinating scheduled maintenance and firmware upgrades, maintaining operational documentation and asset records, and supporting incident, problem and change management following ITIL practices.

, Required Skills

•  Ten (10) years of experience coordinating or producing audiovisual, video teleconferencing or live events in an enterprise, government, or broadcast environment.

•  Planning and executing live, virtual and hybrid events including executive meetings, town halls, conferences, webinars, and training sessions.

•  Developing production plans, event timelines, run-of-show documents, cue sheets, and contingency plans.

•  Coordinating rehearsals, technical run-throughs, and presenter briefings, including executive-level presenters.

•  Directing live event operations and managing quality across audio, video, lighting, streaming, and presentation systems.

•  Coordinating technical staff, vendors, and third-party production services, and managing schedules, equipment availability, and staffing.

•  Maintaining operational documentation, standard operating procedures, inventories, and system configuration records.

•  Conducting post-event reviews and turning lessons learned into process improvements.

•  Ability to pass a full-field five-year employment background investigation (SF-85P, Questionnaire for Public Trust Positions) prior to starting work.

•  Authorized to work in the United States; all work performed within the United States.

•  Professional written and verbal communication, and a customer-service manner suitable for supporting executives and senior officials.

•  Bachelor's degree (any discipline).


Education.

•  Bachelor's degree required (see Required Skills). Degrees in communications, media production, event management, business, or information technology are all relevant.


Certifications.

•  Project Management Professional (PMP) or CAPM.

•  AVIXA CTS.

•  ITIL Foundation.

•  Certified Meeting Professional (CMP) or comparable event management certification.
